Job Title: Coordinator of Student Data

Reports to: Executive Dir of Technology

Dept./School: PEIMS

Exemption Status: Exempt / 226 days

Salary calculations will be commensurate with job experience.

Primary Purpose:

Coordinate the collection and reporting of district Public Education Information Management System (PEIMS) data.

Coordinate the student information system (SIS) including the training of personnel and maintaining data integrity

Qualifications:

Education/Certification:

Bachelor's Degree

Special Knowledge/Skills/Abilities:

Ability to maintain accurate and auditable records

Ability to prioritize to ensure data submissions are accurate and meet established deadlines

Ability to communicate and collaborate effectively with multiple departments and campuses

Ability to use personal computer and software to develop spreadsheets, databases, and do word processing

Proficient keyboarding and file maintenance skills

Strong organizational, communication, and interpersonal skills

Ability to analyze and problem solve

Experience:

Four years experience in support position requiring collecting and entering data; experience using coding systems

Major Responsibilities and Duties:

  1. Oversee, maintain, and support the student information system.

  2. Coordinate the collection, integration, and formatting of data required for PEIMS, OCR, and TSDS Core Collection submissions according to required data standards.

  3. Work cooperatively with campus, business office, and personnel office staff to collect, organize, and format data required to submit state and federal data in a timely manner.

  4. Run edits, reports, and verification checks on data to ensure accuracy of information.

  5. Submit complete and accurate data in Texas Education Agency (TEA)-prescribed format for PEIMS and TSDS Core Collection submissions.

  6. Submit complete and accurate data in Office of Civil Rights (OCR)-prescribed format for biannual OCR submission.

  7. Verify data submitted to TEA and OCR; submit corrections in a timely manner.

  8. Create reports and provide information for data analysis throughout the district.

  9. Complete public information requests in the required timeframe and through a secure process.

Training and Technical Support:

  1. Oversee and coordinate training and support to campus staff responsible for student information system data.

  2. Receive TSDS-related information from ESC and TEA and disseminate it to other staff in a timely manner.

  3. Attend conferences and workshops to remain current on state and federal reporting and software issues.

  4. Perform SIS year-end procedures.

  5. Function as the SIS primary contact for updates, security, and support cases.

  6. Create custom fields and interface updates as needed.

  7. Coordinate the integration with other software programs

  8. Comply with policies established by federal and state law, State Board of Education rule, and local board policy.

  9. Compile, maintain, and file all physical and computerized reports, records, and other documents required.

Supervisory Responsibilities:

Evaluate the Student Data Clerk, the Student Data Specialist, and the Student Data Manager.

Posture: Moderate standing; occasional kneeling, squatting, bending, and stooping

Environment: May work prolonged or irregular hours; occasional districtwide and statewide travel
