Essential Functions: • Perform administrative level functions to contribute to the efficient operation of the Structural Heart Program of RWJUH • Ability to perform a variety of complex task assignments, have the independent judgment required to complete assignments, and level of responsibility, technical knowledge, and confidential support required • Maintain and update detailed records, files, lists, and logs utilizing computerized and manual recordkeeping systems • Assist with managing the departmental forms, procedures, and policies • Manage and organize multiple departmental schedules that include arranging departmental meetings and appointments • Perform all scheduling of outpatient laboratory and radiological exams • Provide scheduling for consultants related to the structural heart program • Ensure results are received and reviewed by Clinical Coordinators or Physicians of the Structural heart program • Work closely with the Clinical Coordinators to ensure patient information is acquired, collated, reviewed, and prepared for upcoming office visits • Be the first line communication point for all referrals into the Structural Heart Program • Organize and track all referrals and keep accurate data base of referring physician preferences • Coordinate the administrative aspects of various interdepartmental and interagency matters (i.e., medical school staff, referring physician offices) • Perform all initial pre-certifications for Structural Heart procedures • Ensure all patients scheduled for a structural heart procedure is pre-certified before being scheduled • Intake on outpatient consults and transfers • Provide pre-consult instructions • Ensure precertification is complete for consults, testing, and procedures • Schedule outpatient assessment including labs and appropriate imaging testing • Schedule pre-surgical lab testing screening • Schedule post hospitalization visit at 1 week and 30 days to prevent early rehospitalization • Ensure policies and procedures met for full reimbursement. Qualifications: • Experience working in an acute inpatient setting • Detailed knowledge and experience in Microsoft Word for Windows, Power Point, Excel, and Outlook • Microsoft Office • Excellent communication skills, ability to meet deadlines, and manage projects • Strong anticipation skills and forward thinking, excellent communication skills • Able to interact at all levels with internal and external • Preferred: Bachelor Degree, Experience in a large academic medical center.
