The Student Office Assistant provides customer service and supports operational work at the College of Arts & Sciences front desk. Student Office Assistants work with the Academic Advisors, Assistant Dean for Students, and Associate Dean for Students to provide hospitality in the Advising Suite and may also represent the department in alternate venues on campus. Student Office Assistants collaborate with the Academic Advisors to create a welcoming environment by greeting visitors and working on projects. Duties include checking in students for advising appointments, scheduling appointments, answering the phone, sharing resources, and assisting with general office projects including social media, newsletters, and data entry.

Our ideal candidate is comfortable communicating in person, via email, and on the telephone with students, parents, faculty, staff, administrators, and other members of the University community. Most of the position is teachable, so we are looking for someone with a welcoming/engaging personality, who will ask questions, take initiative, who is reliable, and professional. Hours will vary between 10-15 hours per week, and priority will be given to students who can accommodate the 15-hour range. Our office is open Monday thru Friday 8:30am-4:30pm, and Office Assistant schedules will be within the office's operating hours.

Core Duties

  • Greet and respond to the needs of visitors in a positive and welcoming manner as the Student Associate is often a first point of contact.
  • Communicate about Advising Suite services and resources, in-person, over the phone, and over email.
  • Guide visitors to the appropriate resources including the website and handouts.
  • Check students in for advising appointments and schedule appointments in Bookings.
  • Answer telephones, direct calls and take messages.
  • Contribute to marketing and promotions including social media efforts.
  • File electronic records in Etrieve
  • Other relevant duties as assigned.

Minimum Qualifications

  • Self-motivated, flexible and willing to take on a variety of tasks.
  • Ability to maintain confidentiality.
  • Excellent interpersonal skills for interacting with students, parents, staff, and faculty
  • High-level organizational skills and attention to detail.
  • Ability to take initiative and follow through on tasks.
  • Collaborative approach to work.
  • Proactive communicator.
  • Basic computer skills (Some familiarity with: Microsoft Office Adobe Acrobat, Canva, Google, Excel).

Preferred Qualifications

  • Familiarity with UP technology and systems
  • Prior clerical work.
