    Sr. Administrative Assistant
     
    Location: Uptown
    Salary: $75,000 - $85,000 + bonus + profit sharing + excellent benefits
    Work Environment:  Business casual; flexible, hybrid schedule after 90-day probationary period

    Our client is seeking an experienced Administrative Assistant to provide high-level support to senior leadership. This organization offers a collaborative work environment, schedule flexibility, modern office amenities, and a professional yet relaxed culture.

    Essential Duties and Responsibilities

    • Provide proactive administrative and operational support to senior leadership, ensuring efficient day-to-day operations.
    • Partner with leadership and key stakeholders to ensure priorities, meetings, and responsibilities are effectively coordinated and supported.
    • Manage complex calendars, including meetings, appointments, travel schedules, and preparation requirements.
    • Coordinate travel arrangements, lodging, expense reports, and related logistics.
    • Reconcile corporate credit card expenses in collaboration with accounting or finance teams.
    • Draft, edit, and prepare correspondence, presentations, reports, meeting materials, and other business documents.
    • Research, prioritize, and address incoming requests, inquiries, and issues, including sensitive and confidential matters, recommending appropriate actions when necessary.
    • Build and maintain productive relationships with internal and external stakeholders.
    • Provide phone and administrative support, including routine office and operational functions.
    • Identify opportunities to improve processes, workflows, and overall organizational efficiency.
    • Assist with special projects, events, meetings, and other organizational initiatives as needed.
    • Perform additional duties and responsibilities as assigned.

    Meeting and Administrative Support

    • Coordinate with team members and meeting owners to ensure materials, deliverables, and follow-up items are completed and distributed on schedule.
    • Attend meetings as needed and contribute to a collaborative, solutions-focused environment.
    • Support meeting operations by scheduling meetings, preparing agendas and materials, maintaining documentation, and managing records.
    • Prepare, distribute, and maintain accurate meeting minutes and action items within established timelines.
    • Record meeting notes and provide administrative support for leadership, committees, and project teams as assigned.
    • Assist with the development, implementation, and maintenance of standardized administrative processes and procedures to improve consistency and efficiency.
    • Maintain confidentiality and professionalism when handling sensitive information and organizational records.
