About the Role

The Senior Legal Biller manages the end-to-end billing cycle, working closely with attorneys and firm leadership to keep invoices accurate and on schedule. This person becomes the go-to resource on the firm's 3E billing system and is expected to grow into a Billing Manager role over time, eventually owning the billing team's processes and results.

Key Responsibilities

Manage the full billing cycle in 3E, including pro formas, edits, timecard summaries, rate updates for matters and timekeepers, and client reports as needed
Keep invoices accurate and on time each month, following up with attorneys to clear up issues and move bills toward approval
Serve as the firm's in-house expert on 3E and e-billing, troubleshooting problems, working with the vendor on system defects, and keeping billing configurations (charge types, matter types, rate overrides) up to date
Apply client billing arrangements and outside counsel guidelines correctly so invoices are right the first time
Track the firm's monthly billing calendar (time release, draft generation, attorney review, final deadlines) and flag attorneys falling behind to leadership
Keep accurate billing records, including unapplied and unallocated balances
Work directly with attorneys on billing terms, write-offs, rate exceptions, and invoice questions, while keeping client and firm information confidential
Partner with the billing and finance teams to support month-end close and reporting for leadership
Contribute to special projects like process improvements, system testing, and policy changes
Help train and mentor other billing staff

Education and Experience (Required)

High school diploma required; Bachelor's in Accounting, Finance, Business Administration, or related field preferred
5+ years as a billing specialist at a law firm
Hands-on experience with 3E, plus familiarity with e-billing/EDI processing
Solid understanding of common billing arrangements (hourly, flat fee, retainer, alternative fee) and how they're set up and billed
Proven ability to handle complex billing issues with good judgment

Skills and Abilities

Process-minded, able to spot gaps and actually improve procedures rather than just follow them
Strong interpersonal skills, comfortable building trust with attorneys and staff at all levels, even without direct authority
Highly organized with strong attention to detail, since this role runs on a firm monthly deadline calendar
Strong written and verbal communication, this role involves direct contact with attorneys and firm leadership
Solid analytical and problem-solving skills
Comfortable juggling multiple projects and competing deadlines
Trustworthy with confidential information and sound discretion
Works well under pressure and collaborates easily with others

Preferred Qualifications

Prior experience supervising or managing a team is a plus, though not required if the candidate is otherwise strong on billing and 3E expertise
