Position Summary: Performs the secretarial clerical and administrative duties required to provide highly confidential managerial and clerical support to St. Louis Plan Team. This position will require working with both the Director and Coordinator in supporting all aspects of the St. Louis Plan process, including attending new teacher training, managing and organizing intern data, answering a high volume of phone calls and emails, supporting the needs of the St. Louis plan professional development activities, interacting with vendors, and completing purchasing requisitions, submitting spreadsheets, and greeting visitors. This role requires promoting, supporting, and contributing to a pleasant work environment as a means of ensuring high levels of organizational effectiveness.
Essential Functions:
• Performs a variety of clerical secretarial and administrative tasks that demand independent action and judgment with limited supervision. • Effectively completes the secretarial functions of the St Louis Plan using both Personal Computers and District Systems, as well as answering phones, making copies, copier maintenance, and ordering supplies to ensure seamless office management. • Establishes and maintains a highly functional filing system to guarantee ease of access and retrieval. • Manages logistics of St Louis Plan events and meetings to ensure participants are able to focus on core work without barriers. • Effectively communicates with internal and external stakeholders, resolving issues and proactively communicating relevant St Louis Plan updates and information. • Stays up to date on district processes, procedures, and policies to ensure compliance and implementation of best practices. • Ensures all procurement contract and budgetary items are handled smoothly and effectively, so as to avoid barriers to the effective functioning of the Team. • Prepares documents to support data gathering, retrieval, and analysis that support the goals of the St Louis Plan. • Assists the St Louis Plan team with new hire orientation, selection of new consultant teachers and induction coaches, and St Louis Plan recognition programs. • Operates with a high degree of professionalism, attention to detail, and consistency in all work.
Knowledge, Skills, and Abilities:
• Ability to communicate effectively orally in writing across various stakeholders, settings, and platforms. • Proficient in Microsoft Excel, Outlook, Word, as well as Kronos Business Plus, and other district data systems. • Thorough knowledge of modern office practices, procedures, and equipment. • Ability to prioritize workload and work effectively under pressure with changing work demands. • Ability to demonstrate positive thinking skills in critical situations while maintaining a professional image. • Excellent organizational and time management skills. • Ability to work independently or with a minimum of supervision. • Familiar with district procedure and general forms. • Experience: Five years of experience in office or other clerical work or any combination of training and experience with advanced secretarial responsibilities. • Extensive experience in typing, word processing, oral dictation, and dictation machine. • Human Resource experience preferred.
Education: Associates degree required. Bachelors degree preferred.
Physical Requirements: Must be physically able to operate a motor vehicle. Must be able to exert up to 10 pounds of force occasionally and/or a negligible amount of force constantly to lift, carry, push, and pull or otherwise move objects, including the human body. Light Work usually requires walking or standing to a significant degree.
Working Conditions and Environment: Work is routinely performed in a typical interior office environment.
