Education and Experience: A Bachelors degree or higher in business or public administration, journalism, social/behavioral sciences or related field, or higher, and two (2) years of paraprofessional administrative experience in support of an executive, or in researching governmental issues.

General Purpose

Under direction, perform a variety of highly responsible, complex administrative functions and perform entry level special projects for assigned portfolio.

Typical Duties

Perform professional-level administrative functions to support the operations of assigned portfolio. Involves: Assist in planning, preparing and implementing annual budget by analyzing current and future expenditures. Research and review pertinent local regulations, laws, manuals and procedures. Incorporate new laws and technology into policies and procedures. Review portfolios strategic plans and make recommendations for changes. Develop and draft long and short-range business and strategic plans for assigned portfolio. Make recommendations regarding budget and planning issues. Provide general administrative support for programs or staff. Compile and document data, draft documents and memos and maintain calendars.

Complete assigned special projects. Involves: Planning, and consult with managers or other technical experts in specific subject areas to obtain clarification of expected results. Coordinate with stakeholder and user department personnel during every phase of the project. Meet stakeholder expectations and coordinating cross-departmental project team activities.

Gather and analyze data. Involves: Generate, compile, and maintain tracking systems. Develop data analysis systems. Identification of patterns and trends. Enter data and prepare final reports such as financial, operating and statistical charts, graphs, spreadsheets. Compile and evaluate data and develop statistical data and prepare reports. Distribute reports. Maintain and update filing system and keep records and reports.

Represent the portfolio or department and communicate effectively internally and with the public. Involves: Participate in task forces. Plan and organize special events. Coordinate, schedule and maintain a calendar of appointments, make travel arrangements and prepare itineraries. Represent the portfolio or department at community and interagency meetings, forums. Coordinate work projects with department divisions, other City departments and other governmental agencies. Prepare and make public presentations. Respond to public information inquiries. Review citizen complaints and prepare authorized responses, which includes interpreting administrative policies in unprecedented situations, recommending courses of actions to supervisor or directing them to proper division or department, and following up on complaints to ensure timely resolution.
