POSITION: Office Assistant (part-time)
DEPARTMENT: Great Hearts America/Great Hearts Institute
LOCATION: Great Hearts Phoenix Lead Office/Hybrid/Event Venue
REPORTS TO: Institute Manager and Operations Coordinator
FLSA STATUS: Hourly/Non-Exempt
COMPENSATION: $16/hour
Position Summary
The Office Assistant supports the operations and events of the Great Hearts Institute with administrative, logistical, and communications assistance. This role reports to the Institute's manager and operations coordinator. The ideal candidate is a detail-oriented, well-organized, and motivated individual interested in contributing to the mission of advancing classical education while gaining hands-on experience in event coordination, office operations, and outreach.
Key Responsibilities
Provide general administrative and office support, including document and supply organization, proofreading, and data entry.
Assist in the planning and execution of the National Symposium for Classical Education and related events.
Coordinate event logistics such as materials preparation, printing, event setup and teardown, and onsite support.
Communicate with vendors, sponsors, and attendees as needed to support event operations.
Help maintain mailing lists, records, and databases using Microsoft Office and related platforms.
Support Institute communications and outreach efforts, including email updates, promotional materials, and support for "On Classical Education", a new publication from the Great Hearts Institute.
Perform other duties as assigned to support Institute projects and initiatives.
Qualifications
College graduate or student preferred.
Prior experience in office, event, or administrative support is helpful but not required.
Strong organizational, time management, written and verbal communication skills.
Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint); familiarity with Salesforce and Constant Contact or similar systems a plus.
Ability to manage multiple priorities and work both independently and collaboratively.

Preferred Qualifications
Undergraduate students with strong initiative are actively working towards a degree.
Minimum of 2 years of experience as an Administrative or Office Assistant, or associated experience.
Prior experience in education or non-profit sectors is a plus
Additional Requirements
Type of fingerprint clearance: Must possess or obtain a valid Arizona Department of Public Safety IVP fingerprint clearance card.
Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 15 pounds approximately.
Travel required: May need to travel locally to the various academies within the Phoenix metro area.
