The Office Manager serves as a key administrative and operational support to the Corps Officer(s), ensuring efficient functioning of the Cleveland Ohio City Corps. This role provides leadership in office operations, facility coordination, staff and volunteer support, communication, and program assistance.
Responsibilities:ESSENTIAL DUTIES AND RESPONSIBILITIES
Administration
• Process, transmit, and file payroll data for all staff under the supervision of the Corps Officer.
• Maintain and process HR forms, records, and documents under the supervision of the Cops Officer.
• Assist with routine financial processes (counting, deposits, reports, etc.).
• Conduct performance evaluations for all immediate reports.
• Support onboarding, training, and of new staff and volunteers.
• Maintain personnel schedules including staff PTO, training, celebrations, and events.
• Provide oversight and coordinate with all entities providing non-paid workers and volunteers
• Coordinate retail rescue program
• Responsible for the effective functioning of the office
Office Management
• Assist the Corps Officers with various communications relative to the workings of the corps business
• Manage and maintain all office files, materials, equipment, and supplies.
• In collaboration with the Corps Officers, serve as a primary point of contact for operational contacts
• Ensure required licenses are kept current.
• Manage corps calendar
Program & Event Support
• Assist with pantry intake, restocking of pantry items, packing of bags, etc.
• Assist with regular program activities as needed
• Assist with the creation of/translation of program promotional materials.
• Translate materials as needed.
• Support Corps Officers with participation in community collaboration efforts as needed.
• Provide back up to family service workers, receptionist, and/or custodian when they are out.
• Recruit and register children for Camp NEOSA, overseeing the completion/processing of all documents.
• Maintain contact with parent/guardians throughout registration for Camp NEOSA.
• Accompany children to and from overnight camp sessions (CAMP NEOSA)
Building and Operational Support
• Assist with opening/closing the building.
• Oversee operations during officer absence.
• Serve as backup driver.
• Support Red Kettle operations through the hiring, scheduling, and processing of all red kettle workers.
Other Duties
• Participate in staff meetings.
• Communicate relevant matters to officers.
• Support total corps ministry.
• Perform other duties as assigned.
MINIMUM EDUCATION AND EXPERIENCE
• High school diploma or GED required; bachelor’s preferred.
• Experience in management, administration, or customer service preferred.
SPECIAL SKILLS, CERTIFICATES, LICENSES
• Strong organization, detail orientation, and problem-solving skills.
• Proficiency with Microsoft Office Suite.
• Excellent communication skills.
• Fluency in Spanish preferred.
• Ability to work independently.
• Maintain confidentiality.
• Safe Serve Certification and CPR/First Aid preferred.
• Valid driver's license.
SUPERVISORY RESPONSIBILITIES
• All Community Services workers, volunteers, and seasonal red kettle workers.
• Receptionist and Custodial staff
