Location: Hattie Mae White \n \nDepartment: SPED Quality Instruction \n \nArea:District Wide \n \nContract Months:12 \n \nSalary Range: $50,000.00 \u2013 $70,000.00 \n \nAcademic Year: 25-26 \n \nJOB SUMMARY\n \nThe Office Manager 1 will assume a strategic leadership role, overseeing the efficient operation of the office and providing comprehensive administrative support to various teams. They will manage office resources, drive process improvements, and foster a productive work environment. This role requires strong leadership skills, business acumen, and ability to drive organizational effectiveness will contribute to the overall success of our company.\n \nMAJOR DUTIES & RESPONSIBILITIES\n\n Greet and assist visitors, answering inquiries, and directing them to the appropriate personnel or department. \n Manage incoming and outgoing correspondence, including mail, emails, and phone calls, ensuring timely responses and appropriate distribution. \n Maintain office supplies inventory, anticipate needs, and place orders to ensure availability of necessary items. \n Coordinate meetings and appointments, including scheduling, preparing agendas, arranging facilities, and distributing relevant materials. \n Assist in the preparation of reports, presentations, and other documentation, ensuring accuracy and adherence to formatting guidelines. \n Maintain and update employee records, including contact information, leave requests, and performance evaluations, ensuring confidentiality and accuracy. \n \nMAJOR DUTIES & RESPONSIBILITIES CONTINUED\n\n Oversee the maintenance of office equipment, including computers, printers, and telecommunication systems, coordinating repairs or replacements as needed. \n Assist in budget monitoring and expense tracking, providing support in maintaining financial records and processing invoices. \n Coordinate travel arrangements and accommodations for employees, ensuring efficient and cost-effective arrangements. \n Support HR-related tasks, such as onboarding new employees, coordinating training sessions, and assisting with employee benefits administration. \n Assist in organizing office events, such as team-building activities, celebrations, or conferences, including venue selection, catering, and logistics coordination. \n Foster a positive and inclusive office culture, promoting teamwork, collaboration, and effective communication among employees. \n Performs other job-related duties as assigned. \n \n\n \nEDUCATION\n\n High School diploma or equivalent qualification\n \nWORK EXPERIENCE\n \n1 to 3 years of relevant experience.\n \nSKILL AND/OR REQUIRED LICENSING/CERTIFICATION\n \nProven experience in an administrative or office support role, with strong organizational and multitasking abilities. \n \nProficiency in using office software, including word processing, spreadsheet, and presentation tools. \n \nExcellent verbal and written communication skills, with a customer-service-oriented approach. \n \nStrong attention to detail and accuracy in completing tasks. \n \nAbility to prioritize tasks and meet deadlines in a fast-paced environment. \n \nProfessional demeanor and ability to maintain confidentiality. \n \nStrong interpersonal skills, with the ability to interact effectively with employees, visitors, and external stakeholders. \n \nKnowledge of office management principles and procedures. \n \nFamiliarity with basic HR processes and procedures is desirable. \n \nAbility to adapt to changing priorities and handle unexpected situations. \n \nPositive attitude and willingness to contribute to a positive work environment. \n \nLEADERSHIP RESPONSIBILITIES\n \nNo supervisory or direct people management responsibilities. May provide occasional work guidance, technical advice and training to staff. \n \nWORK COMPLEXITY/INDEPENDENT JUDGMENT\n \nWork and tasks are often straightforward, routine, structured and guided by established policies and procedures. Little, if any, independent judgment is required, outside of making basic choices in the selection and application of established methods. The job receives frequent, ongoing supervision. \n \nBUDGET AUTHORITY\n \nNo budget development activity is required. \n \nPROBLEM SOLVING\n \nDecisions are made on routine matters affecting few individuals and usually within the confines of the job's own department. Specific job activities and results are typically reviewed closely.\u202f There are limited requirements for developing new ideas or changes in methods, procedures, or services. \n \nIMPACT OF DECISIONS\n \nFollow rules and procedures. Decisions can have minimal or no impact on HISD. Errors can be readily detected, usually by the employee, and, if made, would result in minor expense for correction. \n \nCOMMUNICATION/INTERACTIONS\n \nBasic communication - very little communication required such as receiving basic instructions.\u202f Interactions are mostly with customers, their own supervisor, and co-workers in their own department. \n \nCUSTOMER RELATIONSHIPS\n \nFollows through with customer inquiries, requests, and complaints.
