Scion Staffing has been engaged to conduct a search for a full-time Temporary Office Administrator on behalf of our client, a dynamic and entrepreneurial organization in Denver, Colorado.

This is an excellent opportunity for a highly organized administrative professional who enjoys variety, thrives in a fast-paced environment, and takes pride in delivering exceptional customer service while keeping operations running smoothly. This position will provide maternity leave coverage and includes approximately two weeks of cross-training with the current employee.

Position Overview

This role serves as the administrative hub of the office, supporting multiple business entities and leadership teams. The ideal candidate is detail-oriented, confident, proactive, and enjoys balancing customer service, scheduling, invoicing, and operational support. Success in this position requires someone who can effectively manage competing priorities while maintaining exceptional accuracy in a high-volume administrative environment.

Key Responsibilities

  • Serve as the first point of contact for customers, clients, partners, and vendors, managing incoming calls and inquiries with professionalism and excellent customer service.
  • Coordinate residential and commercial inspection scheduling using company scheduling software.
  • Provide administrative support across multiple business divisions, including construction, engineering, inspection, and real estate development.
  • Maintain employee timekeeping records and review hours for accuracy using project management and time-tracking systems.
  • Support invoicing by compiling project hours, preparing invoices in Excel, and ensuring billing accuracy.
  • Assist with billing support, collections follow-up, and financial documentation.
  • Organize and maintain invoices, receipts, project documentation, contracts, and business records.
  • Assist with project tracking, construction documentation, and construction draw preparation.
  • Coordinate administrative requests while supporting multiple business owners and departments.
  • Utilize Microsoft Office, Excel, OneDrive, project management software, and related business systems to maintain organized operations.

Qualifications

  • 3+ years of experience in an administrative, office coordinator, executive assistant, office manager, or similar administrative support role.
  • At least 1 year of experience supporting invoicing, billing, or financial administration.
  • Experience with timekeeping, payroll support, or high-volume data entry requiring exceptional accuracy.
  • Experience supporting executives, business owners, or leadership teams.

Preferred Qualifications

  • Experience supporting construction, engineering, inspection, real estate, or professional services organizations.
  • Experience with project coordination, scheduling, or operational support.
  • Familiarity with project management or scheduling software.

Compensation

This position offers a pay rate of $22-$25/hour plus a comprehensive benefits package!
