Description

We are seeking a polished, highly organized Legal Executive Assistant to provide high-level support to a Chief Legal Officer and assist with the day-to-day operations of a busy Legal department. This is a high-volume environment requiring exceptional organization, attention to detail, discretion, and the ability to manage competing priorities.

The ideal candidate will be proactive, resourceful, and comfortable working with senior executives and confidential information. Experience within a corporate legal environment is strongly preferred, with opportunities to take on additional responsibilities and grow within the Legal department over time.

Key Responsibilities
  • Manage complex calendars, meetings, travel arrangements, and expenses for the Chief Legal Officer.
  • Prepare and format executive-ready presentations, reports, correspondence, and meeting materials.
  • Coordinate meetings, department events, offsites, and special projects, including agendas, materials, logistics, and follow-up.
  • Track deadlines, deliverables, and action items across the Legal department, including corporate governance and other legal department timelines.
  • Maintain document and approval systems, including timely routing and version control.
  • Coordinate legal intake, meetings, deadlines, and administrative activities for the Legal department.
  • Assist with contract intake, tracking, routing, signatures, and document repositories.
  • Prepare and maintain board and committee agendas, minutes, resolutions, and action logs.
  • Coordinate scheduling and administrative matters related to outside counsel, including engagements, onboarding, and invoices.
  • Assist with legal department records management, litigation holds, compliance training schedules, and policy distribution.
  • Support corporate governance and other legal department initiatives as needed.
  • Handle sensitive, confidential, and privileged information with a high level of discretion.
  • Help streamline administrative processes, templates, and checklists within the Legal department.
  • Coordinate communication between the Legal department and internal business groups and external partners.
  • Anticipate needs, follow up on outstanding items, resolve issues, and escalate competing priorities when necessary.
  • Assist with special projects and other duties as assigned.
Qualifications
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • 5+ years of experience supporting senior or executive leaders in a fast-paced corporate environment.
  • Experience supporting a General Counsel, Chief Legal Officer, or other C-suite executive is strongly preferred.
  • Exceptional organizational skills with the ability to manage multiple priorities and tight deadlines.
  • Excellent written and verbal communication skills.
  • Strong proficiency with Microsoft Office, including Outlook, PowerPoint, Word, and Excel.
  • High level of discretion and sound judgment when handling confidential information.
  • Strong attention to detail and follow-through.
  • Proactive, resourceful, and able to work independently.
  • Professional and polished communication style with the ability to interact confidently with senior leadership and external partners.
  • Experience with legal operations, contract management, document management, board support, or e-billing platforms is a plus.
Preferred Experience
  • Executive Assistant experience supporting a General Counsel, Chief Legal Officer, or senior legal executive.
  • Corporate legal department or law firm experience.
  • Familiarity with contract intake and routing, corporate governance, board and committee support, legal document management, or legal department operations.
  • Experience handling confidential or privileged information.
