The Legal Administrative Assistant supports the Franchise Systems Team to help ensure that all Keller Williams franchises operate at the highest level - ensuring profitability and success and monitoring compliance issues.

Compliance Support

  • Assist in ensuring compliance processes and procedures are executed for maximum efficiency and effectiveness
  • Assist with compliance to FTC regulations related to the Franchise Disclosure Document and franchise agreements
  • Support the Legal team and Franchise Managers on escalated issues by researching historical records, documenting and distributing findings, and mailing default letters when necessary

Contract & Franchise Administration

  • Support the Franchise Managers in drafting, editing and transmitting franchise agreements, daily/monthly reports and legal documents
  • Maintain and audit franchisee information in CRM and other company databases and electronic files to ensure accurate and complete records
  • Create and maintain electronic signature templates and workflows in company e-Sign system

Data Management & Reporting

  • Maintain tracking reports and databases for all documents and projects
  • Regularly monitor the internal ticketing system to ensure timely processing of requests and record updates

Document & Records Management

  • File and scan legal documents

Operational & Administrative Support

  • Answer department correspondence and respond to general requests for information
  • Prepare materials for presentations and meetings
  • Handle special projects and tasks as assigned

Process Improvement & SOP Management

  • Develop, maintain, and update SOPs to ensure documentation remains accurate and aligned with evolving processes and business needs

Minimum Requirements

  • Bachelor's degree. Four (4) years of relevant education and work experience may be substituted for degree
  • Minimum of two (2) years of legal or administrative experience
  • Strong attention to detail, including proofreading and editing
  • Ability to follow multi-step processes, checklists, and work within a defined system with a high degree of accuracy and speed
  • Ability to multi-task, independently prioritize, and organize tasks and projects
  • Excellent interpersonal, written (grammar, spelling, format) and verbal communication skills
  • A high degree of confidentiality in all situations
  • Exceptional customer service skills
  • Proficient in Microsoft Office, including Excel and Outlook. Willingness to learn new software
  • Ability to work cross-functionally and build working relationships through collaboration
  • Polished and professional demeanor

Preferred Requirements

  • Previous franchise or legal administrative experience
  • Paralegal certificate or experience
  • Experience with CRM and electronic signing systems

Knowledge

  • Proficiency in Microsoft Office, including Excel, Word, and Outlook
