Description

  • Prepare, proofread, edit, and file time-sensitive correspondence and legal documents with a high degree of accuracy and professionalism.

  • Organize, maintain, and manage physical and electronic case files to ensure information is accurate, accessible, and secure.

  • Enter, update, and maintain records within the office's case management system.

  • Under the guidance of attorneys and paralegals, respond to inquiries from grievants, respondents, judicial officers, and members of the public regarding the status of investigations and complaints.

  • Maintain case deadlines, dockets, and tracking systems to ensure timely case progression and compliance with applicable requirements.

  • Coordinate the ordering of subpoenas through the Board of Professional Conduct and assist with related administrative processes.

  • Schedule court reporters and prepare, organize, and distribute materials for depositions, hearings, and other proceedings.

  • Sort, inventory, and manage client files and records in accordance with office procedures and retention requirements.

  • Professionally manage communications from individuals who may be frustrated, distressed, or challenging, demonstrating patience, professionalism, and excellent customer service skills.

  • Provide cross-functional support and backup coverage for litigation and non-litigation administrative staff as needed.

  • Perform additional duties and special projects as assigned.

The ideal candidate will possess the following qualifications:

  • A minimum of four years of progressively responsible legal administrative, legal assistant, or legal secretarial experience.

  • Proficiency with Microsoft Office applications, Adobe Acrobat, and other technology platforms used to support legal operations.

  • Exceptional organizational skills and the ability to prioritize competing demands in a deadline-driven environment.

  • Strong written and verbal communication skills, including professional telephone etiquette and correspondence preparation.

  • Excellent attention to detail, accuracy, and follow-through.

  • Demonstrated ability to exercise discretion and maintain confidentiality when handling sensitive information.

  • A positive attitude, strong work ethic, and commitment to outstanding service.

  • Proven ability to work independently while also contributing effectively as part of a collaborative team.

  • Adaptability, sound judgment, and a willingness to learn and grow in a dynamic legal environment.
