EXECUTIVE ASSISTANT JOB SUMMARY

Snelling is recruiting an experienced Executive Assistant for a successful Lubbock-area business leader. This is an excellent opportunity for a dependable, resourceful professional who can take ownership of the details, preparation, and follow-through that keep a busy executive organized and productive.

This isn't a position where you'll simply wait for a list of tasks. The right person will anticipate what needs to happen next, work ahead, and handle much of the research, preparation, organization, and administrative work needed to move projects toward completion.

Approximately 95% of the position is business-related. Responsibilities will include email and meeting preparation, scheduling, travel coordination, research, document preparation, training support, pricing research, financial administration, and special projects.

The ideal candidate is professional, self-directed, technologically comfortable, highly organized, and exceptionally discreet with confidential business and financial information.

EXECUTIVE ASSISTANT RESPONSIBILITIES

• Manage calendars, appointments, meetings, scheduling, and follow-up items
• Prepare emails, documents, spreadsheets, reports, meeting materials, and training materials
• Research vendors, products, services, pricing, and business-related topics
• Coordinate business travel, including flights, lodging, transportation, and itineraries
• Organize information, records, files, and project materials
• Track deadlines and outstanding items and proactively follow through
• Assist with invoices, bills, expenses, collections, accounts payable, accounts receivable, and basic financial administration
• Use Microsoft applications, AI tools, and technology to improve organization and efficiency
• Handle confidential financial, operational, and business information with discretion
• Anticipate needs, identify next steps, and keep projects moving without constant supervision

EXECUTIVE ASSISTANT QUALIFICATIONS

• Previous experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Office Manager, Executive Coordinator, or similar role preferred
• Strong organizational, time-management, research, and follow-through skills
• Proficiency with Microsoft Outlook, Teams, Word, and Excel; Microsoft Loop experience is a plus
• Comfortable learning and using AI tools and technology to work more efficiently
• Excellent written and verbal communication skills
• Ability to manage multiple priorities independently with minimal supervision
• Professional judgment and a high level of discretion and confidentiality
• Dependable, resourceful, adaptable, and comfortable working directly with senior leadership
• Bookkeeping, accounts payable/accounts receivable, invoicing, collections, expense management, or general financial experience is a strong plus

COMPENSATION & BENEFITS

• $20.00–$22.00 per hour, depending on experience

• Flexible scheduling with an early start preferred, approximately 7:00 AM–4:00 PM or similar; start time no later than 8:00 AM
