Executive Assistant - Houston, TX
A leading investment banking platform is seeking a proactive Executive Assistant to support senior leaders within its Investment Banking division. The ideal candidate will exercise strong judgment, demonstrate exceptional communication skills, and maintain a high level of professionalism. This role requires the ability to manage multiple priorities, maintain strict confidentiality, and perform effectively in a fast-paced, constantly evolving environment. The successful candidate will have prior experience supporting senior-level executives and interacting with both internal stakeholders and external clients.
Responsibilities
Manage a wide range of administrative, clerical, and business support functions
Handle incoming calls and direct inquiries to appropriate parties
Coordinate and maintain complex executive calendars across multiple time zones
Support internal and external meetings, conference calls, and presentations
Arrange domestic and international travel and prepare detailed itineraries
Process a high volume of expense reports accurately and efficiently
Utilize CRM and internal systems such as a CRM for tracking and administrative support (training provided as needed)
Prepare correspondence, reports, and other business documents as required
Support ad hoc projects and perform additional duties as assigned
Qualifications
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Experience with CRM preferred, with willingness to learn new systems
Strong organizational, communication, interpersonal, and problem-solving skills
Exceptional attention to detail with the ability to manage competing priorities
Ability to handle confidential information with discretion and professionalism
Proactive mindset with the ability to anticipate needs and take initiative
Strong team player with a positive, adaptable approach to changing priorities
Comfortable working in a high-volume, fast-paced investment banking environment
Hands-on attitude with willingness to support across all responsibilities to ensure team success
