Position Summary:

The Executive Assistant (EA) provides high-level administrative, organizational, and strategic support to senior executives. This role requires exceptional judgment, discretion, and the ability to manage competing priorities in a fast-paced environment. The EA serves as a trusted partner, enabling executive effectiveness by anticipating needs, streamlining operations, and ensuring seamless day-to-day execution.

Knowledge of office productivity software and internal company administrative systems is required.

Key Responsibilities:

  • Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements
  • Act as a gatekeeper, prioritizing and managing executive communications (email, calls, correspondence)
  • Anticipate executive needs and proactively address issues before they arise
  • Prepare meeting agendas, presentations, reports, and briefing materials
  • Attend meetings as needed to capture notes, action items, and follow-ups
  • Coordinate internal and external meetings with senior leaders, board members, and stakeholders
  • Work on a wide variety of assignments of moderate to large scope, importance, and complexity.
  • Partner with the executive to support strategic initiatives and operational priorities
  • Track deliverables, deadlines, and key action items across multiple workstreams
  • Support budget tracking, expense reporting, and invoice processing as required
  • Handle sensitive and confidential information with the highest level of discretion
  • Support special projects and ad hoc initiatives assigned

Qualifications:

  • High School Diploma/GED
  • 3+ years of experience providing administrative support to senior-level executives
  • Demonstrated ability to manage complex and competing priorities
  • Delivers a variety of services or support at a senior level while independently implementing policies and procedures appropriate to the environment.
  • Has a broad knowledge of the support/service specialty area coupled with a wide, solid and seasoned understanding of methods, techniques, resources, and operational impact.
  • Demonstrates initiative, creativity and consistent reliability while handling a large and/or complex caseload.

Preferred Qualifications:

  • Experience supporting C-suite or executive leadership teams
  • Strong business acumen and understanding of organizational dynamics
  • Experience working in a fast-paced, matrixed, or highly regulated environment
