A successful and growing privately held organization is seeking a polished, highly organized Executive Support Manager to provide comprehensive support to a dynamic CEO. This is a high-impact position for a resourceful professional who thrives in a fast-paced environment, enjoys wearing multiple hats, and can expertly balance both executive business support and select personal assistance responsibilities.
This role requires exceptional judgment, professionalism, discretion, and the ability to anticipate needs before they arise. The ideal candidate is comfortable supporting a demanding executive, managing changing priorities, and maintaining confidentiality at all times.
ResponsibilitiesExecutive Leadership Support- Manage a complex executive calendar, scheduling meetings, appointments, and priorities.
- Coordinate domestic and international travel arrangements, including detailed itineraries.
- Prepare executive correspondence, reports, presentations, agendas, and meeting materials.
- Attend meetings as needed, document action items, and follow up to ensure completion.
- Serve as a trusted liaison between the CEO and internal teams, clients, and external partners.
- Handle highly confidential business and personal information with discretion.
Financial & Administrative Support- Prepare and reconcile executive expense reports.
- Review and reconcile corporate credit card activity for accuracy and policy compliance.
- Assist with budgeting, invoice processing, vendor coordination, and financial documentation.
- Maintain organized records and ensure administrative accuracy.
Business Operations & Project Coordination- Coordinate executive meetings, company events, and special projects.
- Improve administrative processes and workflows to enhance operational efficiency.
- Support cross-functional initiatives and ensure projects remain on schedule.
- Maintain business records, files, and important documentation.
Qualifications- Bachelor's degree required
- Experience supporting C-level executives in an Executive Assistant or Executive Support role.
- Strong experience with complex calendar management, executive travel coordination, and executive communications.
- Extensive experience preparing and reconciling executive expense reports and corporate credit card statements.
- Experience handling confidential information with professionalism and sound judgment.
- Advanced Microsoft Office skills, particularly Outlook, Excel, Word, and PowerPoint.
- Experience with ERP, accounting, or expense management systems.
- Exceptional organizational, communication, and multitasking abilities.
- Ability to adapt quickly in a fast-moving environment with changing priorities.
- Experience providing both corporate executive support and personal executive assistance
Compensation & Benefits- Salary up to $130,000 (target range around $120,000)
