Our client is a local injury attorney firm. We are seeking a highly organized and proactive Executive & Personal Assistant to support their senior leadership in a fast-paced professional environment. This role combines executive support with limited personal assistant responsibilities and requires exceptional judgment, discretion, and attention to detail.
The ideal candidate is resourceful, anticipates needs, manages competing priorities effectively, and excels at keeping executives organized and focused.
Key Responsibilities
Executive Support & Calendar Management
- Manage complex executive calendars, meetings, scheduling priorities, and travel arrangements.
- Coordinate meeting logistics, materials, agendas, and follow-up actions.
- Monitor schedules, resolve conflicts, and protect executive time.
- Prepare daily and weekly priority updates as needed.
Leadership & Administrative Coordination
- Support leadership meetings by organizing agendas, materials, and action items.
- Track deadlines, decisions, and follow-through on key initiatives.
- Assist with planning sessions, leadership retreats, and strategic meetings.
Travel Management
- Coordinate executive travel, including flights, accommodations, transportation, and itineraries.
- Manage scheduling across multiple time zones.
- Proactively address travel changes and scheduling conflicts.
Events & Community Engagement
- Coordinate company events, conferences, sponsorships, volunteer activities, and other external engagements.
- Manage invitations, guest lists, logistics, vendors, and event materials.
- Track community involvement activities, sponsorship commitments, and related administrative processes.
Personal Assistant Support
- Assist with personal scheduling, travel, reservations, gifting, and related logistical support for senior leaders.
- Handle personal matters with professionalism, confidentiality, and appropriate boundaries.
Qualifications
- 5+ years of experience supporting senior executives, founders, partners, or C-suite leaders.
- Strong experience managing executive calendars, travel, events, vendors, and confidential information.
- Excellent organizational, communication, and problem-solving skills.
- Proficiency with Microsoft Office, Google Workspace, virtual meeting platforms, spreadsheets, expense tools, project management systems, and AI-powered productivity tools.
- Ability to work independently, prioritize competing demands, and maintain professionalism in a high-volume environment.
