    Description

    The Executive Administrative Assistant / Paralegal sits within the Legal department and provides high-level administrative and paralegal support to the VP - Legal and the broader legal team. This position joins the newly created legal team at Motion Industries’ Atlanta, GA location; the role will be reporting to Motion Industries’ VP - Legal. The successful candidate will be highly organized, detail-oriented, discreet, self-motivated, team-oriented, and comfortable working in a dynamic public company environment supporting the company’s distribution centers, branches, and other facilities.


    Responsibilities

    • Manage the VP - Legal’s calendar, schedule meetings, coordinate travel, and prioritize competing demands
    • Prepare, format, proofread, and finalize legal documents, correspondence, presentations, and reports
    • Maintain and track the status of commercial contracts and real estate leases, including key dates, renewals, and deadlines
    • Organize and maintain the legal department’s files, records, and document management systems for contracts, leases, and related legal documents
    • Conduct preliminary legal and factual research to support the legal team on contract, lease, and general corporate matters
    • Draft and manage routine correspondence with internal teams, outside counsel, vendors, and landlords
    • Coordinate with internal real estate, procurement, lease management, and business teams to gather information and route documents for review and signature
    • Manage the contract and document execution process, including circulating signature packets and maintaining fully executed records·
    • Assist with onboarding of outside counsel, processing engagement letters, and tracking legal invoices and budgets
    • Manage and maintain the LexisNexis Counsel Link platform for legal matter management, outside counsel e-billing, spend management, and invoice review
    • Provide general administrative support to the legal team, including expense reports, meeting logistics, and department coordination

    Required Qualifications and Experience:

    • Associate’s or Bachelor’s degree, or equivalent relevant experience; paralegal certificate preferred
    • Minimum of 5 years’ experience in an administrative, paralegal, or legal support role, preferably within a corporate legal department or established law firm
    • Proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint) and document management systems
    • Strong organizational skills; must be able to manage and prioritize multiple business objectives and projects with the proper sense of urgency
    • Exceptional written and verbal communication skills
    • High degree of professionalism, discretion, and ability to handle confidential information

    Preferred Qualifications & Skills:

    • Experience supporting a corporate legal department or in-house legal team
    • Familiarity with commercial contracts and real estate leasing terminology and processes
    • Experience with contract lifecycle management or e-signature platforms
    • Proven ability to manage internal and external relationships
    • Self-starter and responsive
    • Able to work collaboratively; team player
