    Executive Administrative Assistant

    Title: Executive Administrative Assistant
    Location: NYC
    Contract: W2 only
    Pay: $ 35 /hour + optional medical, dental, vision, 401(k) match

    Overview

    This role provides administrative support to executive-level employees, with a focus on complex calendar management, meeting coordination, and travel arrangements. The position requires strong organization, discretion with confidential materials, and proficiency across Microsoft Office and proprietary applications.

    Key Responsibilities

    • Calendar Management – complex agenda and setting of meetings across all time zones
    • Schedule and track client meetings and support, including Board and Regulatory meetings
    • Domestic & International Travel arrangements; expense claims, expedited travel services
    • Coordinate webcasts, video and telepresence conferences as needed
    • Preparation and coordination of departmental meetings, events, and Town Halls
    • Managing logistics for visitors
    • Assist with the onboarding process of new hires and transfer candidates
    • Ordering, replenishment, arrangement and distribution of departmental supplies
    • Maintain current e-mail distribution lists in Outlook
    • Modification and distribution of departmental reports
    • Completion of any reasonable projects or tasks, as requested by management
    • Manage principals' inbox/outbox with extensive follow up as needed
    • Utilize several applications, both proprietary systems and the Microsoft Office Suite

    Required Skills

    • Excellent calendar management skills, including the coordination of complex executive meetings
    • Well organized, detail oriented, flexible and enjoy the administrative challenges of supporting executive level employees
    • Experience handling confidential materials at all levels
    • Knowledge of administrative and clerical procedures and systems, such as MS Word, Excel & PowerPoint
    • Experience in coordinating travel (both Domestic & International) and extensive experience in expense reporting
    • Knowledge of principles and processes for providing customer and personal services
    • Demonstrated ability to quickly learn and become proficient with a wide range of software applications, including both proprietary systems and the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

    Required Education

    • Undergraduate degree in related business field of study

    Preferred Skills

    • A minimum of 2+ years of relevant experience
