About the Role

Jabezco Industrial Group is seeking a detail-oriented Remote Document Management Assistantto support our administrative and operations teams by organizing, maintaining, and processing company documents and records. This role is responsible for ensuring accurate document control, efficient workflows, and proper record management while supporting project teams remotely.

The ideal candidate is organized, dependable, and able to manage multiple priorities while maintaining accuracy and confidentiality in a fast-paced environment.

Key Responsibilities

As a Document Management Assistant, you will:

  • Collect, organize, and maintain digital and physical company documents and records.

  • Ensure documents are properly labeled, categorized, stored, and easily accessible.

  • Review documents for accuracy, completeness, and compliance with company standards.

  • Support document control processes, including version tracking and distribution of updated files.

  • Upload, scan, archive, and maintain project documentation.

  • Enter and update information in document management systems and company databases.

  • Assist project teams with document preparation, tracking, and organization.

  • Maintain accurate records of contracts, reports, invoices, safety documents, and project files.

  • Support audits, reporting requirements, and administrative tasks as needed.

  • Maintain confidentiality of company, employee, and project information.

  • Collaborate with project managers, engineers, field teams, and administrative staff to improve document workflows.

Required Qualifications

  • High school diploma or equivalent.

  • 1–3 years of experience in document control, administrative support, data entry, or a related role.

  • Strong attention to detail and accuracy in handling documents and data.

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

  • Strong organizational and time management skills.

  • Ability to manage multiple tasks and meet deadlines.

  • Excellent written and verbal communication skills.

  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Experience managing technical documents, drawings, contracts, RFIs, submittals, or project records.

  • Knowledge of document control procedures and quality management practices.

Employment Requirements

  • Full-time position.

  • Must be authorized to work in the United States.

  • Ability to maintain confidentiality while handling sensitive company information.
