The Administrative Support Specialist is responsible for ensuring the efficient day-to-day operation of the office by supporting workplace administration, site coordination, employee experience, and office services. This role serves as a key point of contact for employees, vendors, and visitors while maintaining a professional, organized, and welcoming work environment.

This role will support CEP President & L1 team, Human Resources & Finance teams. This position is based in Sunnyvale, CA and is an on-site role.

In this role, you will have the opportunity to:

  • Coordinate daily office operations, workplace services, and facilities activities, including office seating, badge administration, mail distribution, shipping and receiving, workplace communications, and maintenance of office equipment, supplies, and common areas.
  • Coordinate onsite meetings, training sessions, employee events, and team gatherings by managing room reservations, conference room scheduling, catering, audiovisual setup, vendor coordination, and event logistics.
  • Process purchase orders, invoices, and expense submissions in compliance with company procedures, maintain office records, vendor documentation, and workplace procedures, track project timelines, action items, and deliverables to support operational initiatives and special projects.

The essential requirements of the job include:

  • High school diploma with 3+ years of administrative, office management, workplace services, facilities coordination, or related business support experience, or Associate's degree with 2+ years of related experience, including proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience coordinating meetings, events, workplace services, vendor relationships, and administrative operations, including scheduling, documentation management, records maintenance, and support of day-to-day workplace activities.
  • Experience managing multiple concurrent priorities in a fast-paced business environment, handling confidential or sensitive information, and providing operational support to employees, leaders, vendors, and external partners with minimal supervision.

It would be a plus if you also possess previous experience in:

  • Experience supporting office operations in a corporate or manufacturing environment.
  • Familiarity with facilities management, workplace services, invoice processing, and vendor coordination.
  • Experience planning employee engagement activities, onsite events, or workplace programs.

The salary range for this role is $65,000 - $90,000 annually. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. This range may be modified in the future.

This job is also eligible for bonus/incentive pay.
