As an Administrative Coordinator-Higher Education, you will be part of the Museum Studies Program supporting student advising, program communications, alumni outreach, and event production. The ideal candidate will have excellent organizational skills, strong communication abilities, and a proactive attitude which will align successfully in the organization.
Location: New York, NY 10003 (100% Onsite – 5 Days/Week)
Pay Range: $25.00 – $35.00 / hour (W2)

The Opportunity
We are seeking a proactive and detail-oriented Administrative Coordinator to provide mission-critical support for a prestigious Museum Studies program. This role is the operational backbone of the department, bridging the gap between student advising, program communications, alumni outreach, and event production. Key Responsibilities
Student Advising Support: Prepare advising materials (DPRs/application files), schedule student-leadership appointments, and manage course waitlists and departmental outreach.
Communications & Web Mastery: Update program web content, manage the general inbox, and curate a weekly Jobs & Internships Digest for students and alumni.
Event Architecture: Lead logistics for program lectures and student events, including vendor/catering coordination, promotional material design (RSVPs), and hands-on event setup/breakdown.
Alumni Engagement: Maintain alumni databases and support faculty-led initiatives to bridge the gap between current students and the professional community.
Program Operations: Ensure daily office excellence by managing supplies, signage, and mail services. Provide first-tier tech support for smartboards, classroom equipment, and guest Wi-Fi.
What's Needed?
Experience: Previous administrative experience within Higher Education or a similar cultural/academic institution is highly preferred.
Technical Savvy: Proficiency in Microsoft Office, Google Suite, and basic web CMS tools. Experience troubleshooting classroom/AV equipment is a plus.
Soft Skills: Exceptional written and oral communication; the ability to project a professional image to faculty, students, and high-profile industry professionals.
Organization: A strategic thinker who can prioritize high-volume scheduling alongside daily office operations.
