The University of Utah Health Research Office (HSRO) is a high functioning team environment seeking an experienced administrative assistant. The HSRO works to strengthen programs, departments, and colleges within University of Utah Health by assisting in research strategic planning, decision support, goal setting, administrative and programmatic expertise, and program development.

Under minimal supervision, this position provides day-to-day administrative support, including but not limited to: scheduling meetings and travel, assisting with the planning and execution of large office events, managing departmental purchasing and catering, and other assistance as needed. The position requires strong interpersonal, organizational, and communication skills, and is very collaborative in nature.

This position is eligible for telework in a hybrid telework & in-person environment. In person attendance will be required for meetings, events, and office support as needed. Some extended days and/or evenings may be required for larger events.

Administrative Assistants

Perform a variety of administrative support duties for an individual, group, or department to ensure office operations run smoothly and efficiently. Create and maintain files, compile reports, and manage, store, and disseminate information, ensuring security and compliance of information. Assist in planning department activities, manage meeting calendars, and make travel arrangements. Track expenses, monitor and order supplies, and schedule maintenance repairs. Remain knowledgeable of group / department policies. May make contacts of a sensitive, complex, and confidential nature. May work for one or several department professionals, division heads, officers, or managers.

Responsibilities

HSRO Specific Responsibilities

  • Provides direct administrative support for a broad interdepartmental team.
  • Organizes multiple large meetings, involving scheduling, catering, transcribing minutes, and management of meeting materials.
  • Assists with event planning and execution for large office events.
  • Advises on procurement and manages office purchasing processes.
  • Interfaces with other University organizations to resolve a variety of complex administrative problems for faculty and staff.
  • Coordinates with staff for travel booking and reimbursement.
  • Provides cross-coverage as needed for other office administrative support.
  • Supports other projects as directed.

Minimum Qualifications

EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Administrative Assistants, I: Requires little to no related experience.

Administrative Assistants, II: Requires at least 1 year of related experience.

Administrative Assistants, III: Requires 3+ years of related experience.

Preferences

  • Prior University of Utah experience
  • Prior scheduling experience for large groups
  • Event planning experience
