The Anatomy Lab & Body Donor Program Administrative Assistant provides comprehensive administrative and operational support to ensure the efficient day‑to‑day functioning of the Anatomy Lab and the Body Donor Program. This position is responsible for scheduling and coordination, phone and email coverage, and general administrative support. The role interacts regularly with faculty, staff, students, and external contacts and requires professionalism, organization, and discretion when handling sensitive information.

Responsibilities

Essential Functions / Responsibilities

Administrative & Office Support

  • Provide general administrative support for the Anatomy Lab and Body Donor Program, including document preparation, filing, scanning, data entry, and record maintenance.
  • Maintain organized electronic and paper files in accordance with department and university practices.
  • Assist with routine purchasing, ordering, and basic tracking of supplies and administrative requests, as assigned.

Scheduling & Coordination

  • Manage calendars and schedule meetings, appointments, and program‑related activities.
  • Coordinate logistics such as room reservations, resource scheduling, and meeting support.
  • Track schedules and communicate updates or changes to appropriate stakeholders.

Phones, Reception & Communication

  • Serve as a primary phone and email contact for the Anatomy Lab and Body Donor Program.
  • Respond to routine inquiries, route calls and messages appropriately, and follow up as needed.
  • Greet and assist visitors in a professional and courteous manner, directing them to appropriate contacts or locations.

Program Support

  • Provide administrative coordination support for Body Donor Program and Anatomy Lab activities, including tracking requests and supporting workflow processes.
  • Assist with preparation of materials, forms, packets, and general logistical support for lab and program operations.
  • Handle confidential and sensitive information with discretion and professionalism.

Customer Service & Collaboration

  • Provide responsive, respectful customer service to faculty, staff, students, and external partners.
  • Communicate clearly and professionally in verbal and written interactions.
  • Work collaboratively with departmental staff to support program and lab needs.

Other Duties

Perform other related administrative duties as assigned in support of departmental operations.

Minimum Qualifications

EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Administrative Assistants, I: Requires little to no related experience.

Administrative Assistants, II: Requires at least 1 year of related experience.

  • Experience managing calendars, scheduling, and coordinating multiple priorities.
  • Experience providing phone and front‑desk/reception support.

  • Strong organizational skills, attention to detail, and ability to manage sensitive information.
