Job Summary (Administrative Assistant Tucson, AZ)
- Provide administrative, customer service, and front desk support for daily business and operational functions.
- Operate switchboard and communication systems to answer, route, and transfer calls.
- Perform receptionist duties including visitor check-ins, message taking, and record maintenance.
- Manage emergency calls, alarms, paging systems, and mail sorting.
- Locate medical providers and schedule consultative examinations (CEs) for claimants.
- Prepare, assemble, and distribute CE packets via mail or fax.
- Contact claimants to confirm appointments and request missing documentation.
- Respond to inquiries from claimants, vendors, attorneys, and medical providers regarding claims and transportation assistance.
- Follow up with medical sources for reports, authorizations, or instructions.
- Support claim adjudicators by contacting claimants, attorneys, and medical sources as needed.
- Track and complete daily assignments using established systems.
- Conduct basic case development activities requiring sound judgment.
- Utilize strong customer service and front desk/scheduling skills.
- Maintain basic to intermediate computer proficiency for data entry, document handling, and email communications.
- Bilingual skills (English/Spanish) preferred.
- Position is on-site in Tucson, AZ, with potential for hybrid work after training.
