About the Opportunity: 
The Sacramento Region Community Foundation seeks a skilled, mission-driven professional to serve as Administrative Assistant. Reporting to the Director of Operations, this role plays a critical part in ensuring the smooth execution of daily operations, supporting organizational systems, and coordinating essential administrative functions across leadership areas. The ideal candidate is highly organized, proactive, adaptable, and comfortable supporting multiple executives in a mission-driven, fast-paced environment. This is a full-time, in-office, non-exempt position. 

KEY RESPONSIBILITIES 
Administrative & Operational Support
  • Provide day-to-day support to the Director of Operations: calendar management, scheduling, project tracking, meeting prep, SOP drafting, vendor coordination, and document organization.
  • Serve as a shared administrative resource for the Chief Impact Officer, Chief Philanthropy Officer, and Chief Financial Officer.
  • Distribute, scan, and electronically file all incoming and outgoing mail daily.
  • Maintain the organization's electronic and hard copy filing systems.
  • Support new employee onboarding, including preparing new hire binders.
  • Assist senior leadership with scheduling, event logistics, expense processing, travel coordination, and document preparation.
  • Provide front desk and general administrative backup to the Office Manager/Executive Assistant as needed.
  • Support the Director of Operations with compliance activities, including National Standards audit preparation and execution.
  • Assist organization-wide with meetings, internal trainings, retreats, and events (e.g., Big Day of Giving, Philanthropy Summit).
Finance & Accounting
  • Process gifts and grants under Accounting Manager supervision.
  • Assist with accounts payable, including processing vendor invoices with proper coding and documentation.
  • Scan, file, and ensure timely processing of gift documentation after checks are logged and deposited.
  • Digitize legacy paper records — invoices, contracts, reports, and financial files — ensuring accuracy, accessibility, and compliance.
  • Support routine financial processes including expense reports, invoice tracking, credit card reconciliations, and data entry.
Vendor, Facilities & Technology Coordination
  • Support vendor coordination by maintaining contact lists, scheduling service calls, and tracking contracts and invoices.
  • Assist with facilities management, including maintenance requests, safety protocols, and office supply inventory.
  • Help with technology onboarding/offboarding, equipment tracking, and IT vendor coordination.
Qualifications & Experience
  • 2-3 years of administrative or operational support experience; nonprofit experience preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft 365 (Outlook, SharePoint, Word, Excel, Teams, and PowerPoint).
  • Ability to handle confidential information with discretion and professionalism.
  • Detail-oriented, reliable, and able to work both independently and collaboratively.
Preferred Skills
  • Experience supporting executives or leadership teams.
  • Familiarity with vendor management, facilities coordination, and/or basic safety tasks.
  • Comfort learning and using new technology platforms and workflow tools.
  • Commitment to the Foundation’s mission and values.
Work Environment & Physical Demands
This is an in-office position that operates in a professional office environment, Monday -Thursday eight (8) hours per day with Fridays off. Occasional work on Fridays in office or for events may be offered. This role requires regular use of standard office equipment such as computers, phones, photocopiers, and filing cabinets. Occasional lifting of up to 25 pounds and some evening or early morning events may be required.

Compensation and Benefits:  
  • This is an in-office, eight (8) hour per day, Monday – Thursday position with occasional work on Fridays.
  • $22-$25 hourly, depending on experience.
