We are seeking a Full-Time Administrative Assistant with an accounting background to support day-to-day operations, financial tracking, and documentation management for our new USCIS contract. This role provides critical administrative and financial support to program managers and leadership.

 Responsibilities

  • Provide general administrative support including scheduling, correspondence, and record-keeping.
  • Assist the Finance & Accounting Manager with invoice preparation, reconciliation, and DCAA-compliant recordkeeping.
  • Maintain accurate databases of personnel, task orders, and contract documentation.
  • Support onboarding and clearance tracking by coordinating with HR and the Facility Security Officer.
  • Prepare monthly and quarterly reports for management and the Contracting Officer’s Representative (COR).
  • Assist with procurement tracking, expense monitoring, and budget reconciliation.
Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field.
  • 2+ years of administrative experience with exposure to accounting or finance functions.
  • Knowledge of QuickBooks Online (QBO), Excel, and federal invoicing practices preferred.
  • Strong organizational and multitasking skills; detail-oriented.
  • Excellent written and verbal communication skills.
  • Ability to obtain and maintain a federal background clearance (Tier 3 or Tier 5).
  • U.S. Citizenship or permanent residency required.
