Print Pro AZ LLC (Phoenix, AZ) seeks Administrative Assistant to:
• Enter and maintain project orders in company software under established procedures; verify accuracy of information with guidance; coordinate with production staff; and follow up with customers using standard templates or instructions.
• Assist with inventory and supply records by performing weekly counts, recording stock levels, and preparing basic purchase requests for supervisor review.
• Provide support in preparing financial records by entering vendor bills, coding expenses under provided guidelines, running simple reports, and assisting staff with reconciliations and budget tracking.
• Process routine accounts payable and receivable tasks, including preparing standard invoices, posting payments, monitoring overdue accounts, and escalating issues to management when directed.
• Answer and route communications by responding to basic customer questions, taking messages, and relaying information to staff.
• Perform general administrative support, including preparing spreadsheets and reports, scheduling meetings, coordinating with vendors, and assisting with special projects under supervision.
Requires 24 months of experience as an administrative assistant or related.
Must have experience with:
• Utilizing office or accounting software to enter and track invoices, payments, and simple financial transactions under established procedures.
• Generating routine reports and updating records for supervisor review.
• Completing payroll and billing support tasks, including data entry and verification.
• Assisting with reconciliations and maintaining routine financial records.
