We are seeking an Administrative Assistant for our Wyndris location. 

 

Schedule:  This is position works Monday-Friday 9:00am-3:30pm and is benefit eligible.

Catholic Eldercare is a community of residential facilities in Northeast Minneapolis offering services in assisted living, independent living, skilled nursing, memory care, transitional care, and adult day services.

Responsibilities:

The Administrative Assistant provides clerical and administrative support for Wyndris/Catholic Eldercare, is responsible for Volunteer Coordination for Catholic Eldercare (CEC), including Meals on Wheels, and is a model of exemplary customer service.

 

JOB DUTIES/RESPONSIBILITIES:

 

1. Provides excellent customer service by answering phones, greeting tenants and visitors, and assisting the various needs of tenants and guests.

2. Assists with tenant move-in and move-outs, including registering fobs, programming the front door directory, setting up appointments for cable and internet services and orientation to apartment and building.

3. Maintains accurate knowledge of procedures for tenant services and emergency systems.

4. Prepares and tracks work orders for apartments and common areas.

5. Maintains a clean reception desk, lobby, and vestibule area. Assist with cleaning and vacuuming as needed or requested.

6. Assists tenants with reserving rooms for activities and printing related flyers, if needed.

7. Assists with billing and bank deposits, ordering office supplies, creating monthly newsletter and activity calendars.

8. Assists with marketing activities, including managing inquiries and tours. Data entry and management in Eldermark software required.

9. Manages printing and assembling marketing/inquiry and lease packets. Responsible for managing inventory of supplies and assembling when stock is low.

10. Serves as the Catholic Eldercare Volunteer Program Coordinator. Coordinates/schedules CEC Meals on Wheels volunteers, responds to volunteer inquiries, matches volunteers with CEC staff/departments based on needs, provides volunteer training, enters data into Volunteer Management software, recordkeeping of hours, and assists with volunteer events.

11. Provides administrative support for special projects as needed and requested by Catholic Eldercare staff.

12. Provides support to Wyndris Café by assisting with taking orders and clearing tables, as needed.

13. Participates in training programs and attend meetings to improve skills, acquire knowledge, and meet state and federal regulations.

14. Performs other related duties as assigned.

Qualifications:

• One or more years of customer service experience.
• Excellent verbal, written, and interpersonal communication skills.
• Demonstrated proficiency in Microsoft Office products and computer savvy in other programs.
• Demonstrate tact, dependability, ability to maintain confidentiality, ability to work with little supervision and make appropriate judgments.


Knowledge, Skills, and Abilities:
• Ability to work as a team member and adapt to changes in work assignments.
• Ability to work with frequent interruptions.
• Ability to display a professional, calm, courteous manner.
