Description

Position SummaryWe are seeking a highly organized and dependable Administrative Assistant to support our water treatment operations within the oil and gas industry. This role is essential to ensuring smooth day-to-day operations by coordinating logistics, managing communications, and supporting field personnel across multiple operating regions, including the Permian Basin, New Mexico, and Ohio.The ideal candidate is detail-oriented, thrives in a fast-paced environment, and can effectively manage multiple priorities while providing outstanding customer service to both internal teams and external vendors.Key ResponsibilitiesAnswer and direct incoming phone calls professionally and efficiently.Coordinate and book hotel accommodations and travel arrangements for field personnel.Process purchase orders and coordinate the procurement of supplies, equipment, and materials.Work closely with vendors and suppliers to ensure timely delivery of materials to active job sites.Support field operations in the Permian Basin, New Mexico, and Ohio by coordinating logistics for work orders as they arise.Maintain accurate records of purchase orders, invoices, lodging reservations, and vendor communications.Assist with scheduling, document management, and general administrative support.Monitor office supply inventory and place replenishment orders as needed.Communicate effectively with field supervisors, operations managers, customers, and vendors.Perform additional administrative duties as assigned to support business operations.QualificationsHigh school diploma or GED required; associate degree preferred.2+ years of administrative or office support experience, preferably in the oil and gas, industrial, construction, or transportation industries.Strong organizational and multitasking skills.Excellent verbal and written communication skills.Proficient in Microsoft Office (Outlook, Excel, Word).Experience processing purchase orders and coordinating with vendors is preferred.Ability to work independently while managing multiple priorities in a fast-paced environment.Strong attention to detail and problem-solving abilities.Preferred ExperienceFamiliarity with oilfield operations or water treatment services.Experience coordinating travel and lodging for field crews.Knowledge of purchasing, inventory management, or accounts payable processes.Experience working with ERP or purchasing software is a plus.What We OfferCompetitive pay based on experienceHealth, dental, and vision insurancePaid time off and holidaysRetirement planOpportunities for professional growth within a growing organizationSupportive team environment serving the energy industryIf you are an organized professional who enjoys supporting field operations and keeping projects running efficiently, we'd love to hear from you.
