    Description

    Administrative Support Specialist

    Position Overview

    We are seeking a detail-oriented Administrative Support Specialist to provide administrative and staff support to a department in a professional office environment. This position will be responsible for maintaining spreadsheets and reports, organizing department files, scanning and uploading documentation, and assisting with special projects.

    The ideal candidate will have previous administrative or office support experience, strong organizational skills, proficiency with Microsoft Office, and the ability to accurately manage multiple priorities while maintaining confidentiality.

    Work Schedule & Location

    • Work Model: 100% On-site

    • Schedule: Monday – Friday

    • Hours: 8:00 AM – 4:30 PM

    • Shift: 1st Shift

    • Assignment Type: Contract Only

    • Office Environment

    • Interview: No interview required

    Key Responsibilities

    Administrative Support

    • Provide general administrative and staff support services to the department.

    • Maintain professionalism and confidentiality when handling sensitive information and documentation.

    • Update and maintain key spreadsheets, contact lists, and departmental reports.

    • Assist with preparing and updating reports as required.

    • Perform scanning and document-upload activities using computer systems.

    • Provide support for special projects and assignments as requested.

    Records & Document Management

    • Organize and maintain departmental files and records.

    • Scan, upload, and maintain electronic documentation.

    • Ensure documentation and records are accurately filed and easily accessible.

    • Maintain accuracy and attention to detail when entering, reviewing, and updating information.

    Office & Project Support

    • Manage multiple administrative tasks and projects simultaneously.

    • Prioritize assignments to meet established deadlines.

    • Communicate effectively with team members and internal stakeholders.

    • Learn and utilize additional software applications as required.

    • Support general office management and departmental operations.

    Required Qualifications

    • High School Diploma or GED required.

    • 1–2 years of related administrative, clerical, office support, or similar experience.

    • Previous office management or administrative support experience.

    • Strong computer skills with the ability to scan documents and upload files electronically.

    • High level of proficiency with Microsoft Office, including:

      • Word

      • Excel

      • PowerPoint

      • Outlook

    • Ability to learn new software programs and computer systems.

    • Strong organizational and time-management skills.

    • Ability to manage multiple projects and priorities simultaneously.

    • Strong written and verbal communication skills.

    • Strong attention to detail and accuracy.

    • Ability to prepare and write reports.

    • Ability to maintain confidentiality and handle sensitive information professionally.
