Administrative Assistant

Our client, an EV manufacturing company, is looking for an Administrative Assistant for their Irvine, CA/Hybrid location.

Responsibilities:
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management
  • Maintain electronic system of our various licenses
  • Perform data entry and scan documents
  • Assist in resolving any administrative problems with internal business partners and/or external licensing agencies
  • Prepare and modify documents including correspondence, reports, and emails
  • Complete and submit administrative forms associated with license applications, such as check requests and other vendor related forms.
  • Complete simple new licensing and renewal applications
Requirements:
  • Bachelor Degree
  • Proficient in Google Workplace, Email, Internet
  • Prefer experience directly related to licensing, preferably working for a direct sales vehicle manufacturer or a highly regulated industry
  • Can handle sensitive information with the highest degree of integrity and confidentiality
  • Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem solving
  • Ability to manage multiple tasks and achieve deadlines under pressure
  • Strong attention to detail
  • Proficient with Google Workspace (Gmail, Sheets, Docs, etc.)
  • Nice To Have
  • Experience directly related to licensing, preferably working for a direct sales vehicle manufacturer or a highly regulated industry
  • Proficient with Confluence and Smartsheet
