Position Overview: Our client is seeking a highly organized and proactive Administrative Assistant (Finance) to provide day-to-day support to professionals within their New York City office. This individual will assist with scheduling, correspondence, document preparation, meeting coordination, expenses, and other administrative needs.
The ideal candidate is polished, dependable, detail-oriented, and comfortable managing multiple priorities in a fast-paced financial services environment. They should have strong communication skills, excellent follow-through, and the ability to handle confidential information with discretion.
Responsibilities of the Administrative Assistant (Finance):- Provide general administrative support to team members and senior professionals.
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare and format correspondence, reports, presentations, and other documents.
- Coordinate conference rooms and meeting logistics.
- Assist with travel arrangements and itineraries as needed.
- Prepare and process expense reports and invoices.
- Maintain electronic files, records, and internal documentation.
- Handle incoming calls, emails, and general correspondence professionally.
- Assist with data entry and spreadsheet maintenance.
- Support internal meetings, conference calls, and team events.
- Communicate with internal departments, clients, and external contacts.
- Handle confidential and sensitive information with discretion.
- Provide additional administrative and project support as needed.
Required Experience/Skills for the Administrative Assistant (Finance):- Previous administrative, office support, or coordinator experience.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Professional and polished demeanor.
- Ability to manage multiple priorities and deadlines.
- Strong follow-through and ability to work independently.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Comfortable working in a fast-paced, deadline-driven environment.
- Ability to maintain confidentiality and exercise professional discretion.
Preferred Experience/Skills for the Administrative Assistant (Finance):- Previous administrative experience within financial services, banking, investment management, private equity, accounting, or another corporate environment.
- Experience supporting multiple professionals or senior-level employees.
- Calendar management and meeting coordination experience.
- Experience processing expenses and invoices.
- Strong Microsoft Excel and PowerPoint skills.
Education Requirements:- Bachelor's degree preferred, or equivalent relevant professional experience.
