Delaware North is hiring a full-time Administrative Assistant, Finance to join our team at our global headquarters in Buffalo, New York. What will you do?

  • Manage executive calendars, coordinate meetings, arrange travel, and prepare expense reports, invoices, and other administrative materials
  • Compile agendas, presentations, supporting documents, and meeting materials for executive and management meetings
  • Serve as the primary point of contact for internal and external stakeholders by managing communications, screening inquiries, and directing requests appropriately
  • Prepare, edit, and distribute correspondence, reports, presentations, and other business documents while maintaining accuracy and professionalism
  • Organize and maintain executive files, records, mail distribution processes, and department supplies to support efficient operations
  • Build and sustain effective working relationships with executives, business partners, and external stakeholders while handling sensitive information with discretion
  • Coordinate and execute special projects by managing timelines, requirements, and deliverables to ensure successful completion

More about you

  • Associate degree in Business Administration, Accounting, Finance, or a related field preferred
  • Minimum 3 years of administrative support experience, preferably within finance, accounting, or business operations
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint
  • Experience working with ERP, accounting, or other enterprise business systems a plus
  • Strong organizational skills with attention to detail and accuracy
  • Ability to handle confidential and sensitive information with discretion
  • Excellent communication and interpersonal skills
  • Basic financial and mathematical skills, including working with budgets, invoices, percentages, and reconciliations
