Position Information

Job Title Administrative Assistant - Enrollment Management Position Number 998621 Department Enrollment Management Operations Salary $29,837 - $34,604 Remote No Job Summary

The Administrative Assistant performs office support functions for the Assistant Vice President of Enrollment Management and all departments within PSOA. The position is responsible for managing the day to day activities of the office including purchasing, personnel/payroll transactions, travel requests, etc. The Administrative Assistant performs duties critical to accurate budget maintenance and tracking.

Occasional evening/weekend hours needed to support recruitment events.

Essential Duties

  1. Department Support
  • Provides direct administrative support to the Assistant Vice President for Enrollment Management and directors within Financial Aid and Scholarships, Admissions, Prospective Student Outreach and Access Communications, and Dual Credit.
  • Coordinates and supports departmental meetings, events, and professional development activities that contribute to effective communication, collaboration, and employee engagement within Enrollment Management.
  • Prepares and processes ePAFs and other personnel-related documents in accordance with university policies and procedures.
  1. Budget
  • Maintains and reconciles departmental account and expenditure records, including budget tracking spreadsheets, to ensure accuracy and consistency with financial reports.
  • Assists with budget administration by collecting data for budget requests, maintaining budget process documentation, coordinating travel documentation, and communicating budget concerns to the Assistant Vice President as needed.
  1. Purchasing
  • Coordinates departmental purchasing processes, including preparing requisitions, processing invoices, and facilitating the purchase of supplies and other operational needs.
  • Reconciles procurement card transactions and maintains related purchasing records and supporting documentation.
  • Maintains contract files and tracks contract status to support compliance, reporting, and recordkeeping requirements.
  1. Data Management
  • Assists with data maintenance within Salesforce and related systems, including contact merges, record updates, data verification, and other activities that support accurate constituent information.
  • Supports Enrollment Management departments through data entry and routine Salesforce processes; remains informed of Salesforce updates and changes that may affect data maintenance activities.
  1. Additional Support
  • Provides administrative and operational support to Enrollment Management departments, including front-line customer service, visitor assistance, telephone support, correspondence, and general office functions.
  • Assists with departmental events, campus visits, tours, work order coordination, special projects, and other duties as assigned to support Enrollment Management goals and operations.

Knowledge, Skills and Abilities

Knowledge of

  • Basic budgeting principles and practices, fund accounting, and bookkeeping
  • General office management procedures and applicable departmental/university policies
  • Microsoft Excel and Word, accounting software, and standard office equipment
  • Banner ERP (experience preferred)

Skilled in

  • Oral and written communication and effective interpersonal relations
  • Customer service and teamwork
  • Critical thinking to anticipate and address potential issues

Ability to

  • Perform accurate, detail-oriented work and basic mathematical calculations
  • Work independently in a self-directed manner
  • Organize, prioritize, and complete tasks in a timely manner
  • Be proactive, take initiative, remain flexible, and meet deadlines

Minimum Qualifications

  • Possession of high school diploma or GED.
  • Two years of experience as an administrative, executive, or office coordinator of comparable level.

Preferred Qualifications

  • Experience with MS Excel and reconciliation of budget accounts.
