Join Our Team as an Administrative Assistant!


MSF Hospitality is looking for a highly organized and detail-oriented Administrative Assistant to support our growing team. This role is perfect for someone who enjoys staying organized, managing multiple priorities, and helping keep daily operations running smoothly.


The ideal candidate is proactive, dependable, and comfortable working with different teams, including clients, vendors, subcontractors, and internal leadership. Experience in construction, accounting, hospitality, or a related industry is a plus.

Key Responsibilities:

As our Administrative Assistant, you will provide essential administrative and operational support, including:

  • Organize, maintain, and distribute company documents and accounting files.
  • Manage filing systems and ensure records are accurate and up to date.
  • Answer incoming calls, greet visitors, and serve as a primary point of contact for clients, vendors, and subcontractors.
  • Support communication and coordination between internal teams and external partners.
  • Track, review, code, and process invoices.
  • Assist with accounts payable and accounts receivable tracking.
  • Manage lien waivers and financial documentation.
  • Enter and update information in accounting and construction management systems.
  • Maintain calendars, schedule meetings, and coordinate logistics.
  • Prepare meeting notes and support leadership with administrative tasks.
  • Maintain compliance records, including subcontractor insurance certificates (COIs), W9 forms, and safety documentation.
  • Assist with general office operations and special projects as needed.


Qualifications:

The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment:

  • 1 - 3 years of administrative, office, or clerical support experience.
  • Previous experience in construction, accounting, hospitality, or an industrial environment is strongly preferred.
  • High school diploma or equivalent required.
  • Additional education in business administration, accounting, or construction management is a plus.
  • Strong knowledge of Microsoft Office Suite, especially Excel.
  • Ability to quickly learn new software and systems (experience with QuickBooks, Procore, PlanGrid, BuildingConnected, or similar platforms is a plus).
  • Excellent attention to detail and strong time management skills.
  • Ability to prioritize tasks and meet deadlines.
  • Professional written and verbal communication skills.
  • Ability to work effectively with clients, vendors, subcontractors, and internal teams.
  • Strong problem-solving skills and a proactive attitude.


Compensation & Growth Opportunity:

  • Starting salary: $55,000/year
