Job Description:
The Administrative Assistant Contractor will provide high-level administrative and operational support to executive leadership, including the Chief of Staff. This role is responsible for helping coordinate internal activities, maintaining organized processes, and supporting agency-wide initiatives. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, collaborative environment.
Key Responsibilities:
- Deliver administrative and coordination support to executive leadership
- Organize schedules, meetings, and cross-departmental initiatives
- Act as a liaison with external partners and stakeholders
- Oversee purchasing tasks, subscriptions, and renewals
- Coordinate with IT and risk management teams to address operational needs
- Prepare reports, correspondence, and internal documentation
- Maintain records including inventory, employee milestones, and training registrations
- Assist with performance tracking and organizational reporting processes
- Handle confidential information with professionalism and discretion
- Support special projects and provide general administrative assistance as needed
Qualifications:
- Bachelor’s degree OR equivalent combination of education and relevant experience
- 2+ years of experience supporting executive leadership or similar administrative roles preferred
- Strong organizational skills with the ability to manage multiple priorities
- Excellent communication skills, both written and verbal
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work independently while collaborating effectively with a team
- High attention to detail and ability to manage sensitive information
