What You'll Do

As the Community Engagement Administrative Assistant, you'll play a key role in supporting grant administration, maintaining accurate records, assisting with reporting, and providing exceptional service to both internal teams and external nonprofit partners.

Key Responsibilities

  • Coordinate grant and corporate contribution workflows from submission through payment
  • Process and track grant applications, approvals, and payment requests
  • Maintain accurate grant, contact, and organization records
  • Respond to questions from internal teams and nonprofit organizations regarding application status and payment information
  • Provide professional customer service through email, phone, and internal communication channels
  • Assist with database maintenance, record updates, and data cleanup
  • Identify duplicate or incomplete records and help improve data accuracy
  • Generate recurring reports using established templates and reporting tools
  • Organize files, documentation, and reference materials
  • Provide administrative support for meetings, communications, and special projects
  • Ensure all work is completed accurately and within established deadlines

Qualifications

Required

  • High school diploma or equivalent

  • Minimum of 3 years of experience in one or more of the following:

  • Administrative support

  • Administrative assistant

  • Office administration

  • Customer service

  • Data entry

  • Grants administration

  • Nonprofit administration

  • Business operations support

  • Strong Microsoft Office skills, including: Excel, Outlook, Word. Microsoft Teams

  • Excellent organizational and time management skills

  • Strong written and verbal communication abilities

  • High attention to detail and accuracy

  • Ability to manage multiple priorities and meet deadlines

  • Comfortable learning new software systems and internal applications

Preferred

  • Associate's or Bachelor's degree in:

  • Business Administration

  • Nonprofit Management

  • Communications

  • Public Affairs

  • Related field

  • Experience using CRM, grants management, ERP, or payment processing systems

  • Experience supporting nonprofit organizations or community engagement programs
