This position is ideal for someone who enjoys staying organized, communicating with a variety of people, and helping keep day-to-day office and property management activities running smoothly.The Administrative Assistant will assist with general office administration, tenant and vendor communication, document management, scheduling, recordkeeping, and other tasks related to the management of commercial properties. The position is expected to begin at approximately 25 hours per week, with the opportunity for hours and responsibilities to increase as business needs grow.Essential Duties and ResponsibilitiesProvide general administrative support to the property management team.Answer and route incoming phone calls, emails, and other correspondence in a professional and timely manner.Assist with communication and follow-up with tenants, property owners, vendors, contractors, and other business partners.Coordinate appointments, meetings, property-related activities, and schedules as needed.Assist with receiving, documenting, and routing tenant maintenance requests.Coordinate with vendors and contractors regarding service requests, scheduling, documentation, and follow-up.Maintain organized electronic and physical files, including tenant, vendor, property, and administrative records.Assist with preparing letters, notices, reports, spreadsheets, and other business documents.Enter and maintain accurate information in company systems, spreadsheets, and databases.Assist with lease-related documentation, tenant files, certificates of insurance, and other property records.Track deadlines, outstanding documents, work orders, and other follow-up items.Assist with invoices, receipts, expense documentation, and other basic administrative accounting functions as assigned.Order office supplies and assist with maintaining an organized and professional office environment.Provide administrative assistance for special projects, property management initiatives, and company events as needed.Maintain confidentiality of company, client, tenant, and financial information.Perform other administrative duties as assigned.QualificationsHigh school diploma or equivalent required.Previous administrative, office, customer service, or property management experience preferred.Strong organizational and time-management skills.Excellent written and verbal communication skills.Professional and courteous when interacting with tenants, clients, vendors, and coworkers.Strong attention to detail and ability to maintain accurate records.Ability to prioritize multiple responsibilities and follow through on assigned tasks.Comfortable working independently while also contributing as part of a team.Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.Ability and willingness to learn property management software and other company systems.Previous commercial real estate or property management experience is a plus but is not required.Knowledge, Skills, and AbilitiesThe successful candidate will be:Dependable and punctual.Highly organized and detail-oriented.Comfortable communicating by phone, email, and in person.Able to handle changing priorities in a professional manner.Proactive about identifying tasks that need attention and following through to completion.Able to exercise good judgment and maintain confidentiality.Comfortable learning new processes, systems, and terminology related to commercial property management.Schedule and CompensationThis is initially a part-time position averaging approximately 25 hours per week.
