Job Summary
This position provides administrative, financial, operational, and logistical support for the Collaborative for Community Engagement (CCE). The Administrative Assistant supports the day-to-day operations through office administration, financial processing, communications, event and program support, database management, grant administration support, and record keeping. Within this work, the position has a particular focus on the administrative aspects of a grant funded program, with 50% of time devoted to the process of distributing funds and maintaining documentation for grant reporting and institutional assessment.
Responsibilities
Program Support:
Provides administrative and logistical support for the Collaborative for Community Engagement (CCE), by coordinating administrative details for programs, events, volunteer activities, community partner engagement efforts, and stakeholder-facing services.
Maintains records, compiles information, and supports data collection and assessment activities to help ensure effective program and office operations.
Technology & Systems Support:
Serves as a primary user of the Summit online platform, supporting application processes, event registration activities, database maintenance, stakeholder communications, and routine reporting.
Maintains system records, assists users with platform-related questions, and coordinates with vendors to address technical issues and support platform updates and enhancements.
Financial, Grant & Administrative Support:
Administer the logistics, finances, and record-keeping of a grant-funded program, including coordinating application processes, distributing funds, maintaining and collecting relevant databases and records, and assisting in institutional and grant reporting.
Provides administrative support for general financial and operational processes, including purchasing, payment processing, account reconciliation support, record maintenance, and document preparation.
Assists with student employment processes by supporting hiring, onboarding, payroll-related paperwork, and maintaining associated records.
Communications & Stakeholder Support:
Provides administrative support for departmental communications by monitoring and routing inquiries, responding to routine requests, and assisting with stakeholder outreach efforts.
Supports the coordination of website updates, social media content, newsletters, marketing materials, and other communications that promote departmental programs, services, and events.
Team Collaboration & Department Support:
Participates as an active member of the CCE and EE@CC teams by assisting with internal meetings, office operations, and departmental processes.
Attend meetings, contribute to shared projects, support departmental initiatives, and assist with team goals and priorities.
Provides administrative support for collaborative efforts and helps maintain effective communication and coordination across the department.
Collaboration Skills:
Communication centers on exchange and receipt of information but may involve basic collaboration with other employees. Interactions with others outside the organization are limited in that there is an expected handoff to another employee.
Technical Knowledge:
Work requires basic skills and knowledge in approaches and systems.
Minimum Qualifications
One year of relevant work experience may be substituted for one year of required education (OR) one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.
