Administrative Assistant
This position is located onsite in College Station, Texas
The Texas A&M Foundation is seeking an Administrative Assistant to provide high-level administrative, operational, project management, and relationship coordination support to senior development leadership. This position serves as a strategic partner to vice presidents, development officers, university leaders, donors, and administrative professionals.
In this role, you will manage complex executive calendars, coordinate meetings and travel, prepare leadership materials, support donor and stewardship activities, and help advance key projects and operational initiatives. You will serve as a trusted liaison across the development enterprise, anticipating needs, facilitating communication, and ensuring leaders have the information and resources necessary to focus on fundraising and strategic relationship-building.

What Youll Do...
As an Administrative Assistant, you will provide strategic administrative and operational support while coordinating activities across multiple leaders, stakeholders, and development units. In this role, you will:
Manage complex executive calendars, meetings, travel, and scheduling priorities.
Coordinate leadership meetings, donor visits, university partner engagements, and special events.
Prepare agendas, briefing materials, presentations, reports, and executive communications.
Track action items, projects, and strategic initiatives while ensuring timely follow-through.
Serve as a liaison among development officers, university leaders, donors, and administrative partners.
Support donor stewardship efforts by coordinating visit logistics, correspondence, and engagement activities.
Process expense reports, reimbursements, and other administrative and operational tasks.
Coordinate hospitality, meeting logistics, onboarding activities, and team engagement initiatives.
Maintain confidential information with professionalism and sound judgment.
Provide proactive support that enables leaders to focus on fundraising, relationship-building, and strategic priorities.

What We Require...
Associate degree or bachelor's degree, or an equivalent combination of education and experience.
2-4 years of professional experience in executive support, administrative coordination, operations, project management, or a related field.
Exceptional calendar, organizational, and time-management skills.
Strong project management abilities with the capacity to track priorities, deadlines, and deliverables.
Excellent written, verbal, interpersonal, and organizational communication skills.
Demonstrated ability to manage multiple priorities and competing demands in a fast-paced environment.
Strong attention to detail, accuracy, and follow-through.
Ability to manage confidential and sensitive information with discretion and professionalism.
Strong customer service and relationship-building skills.
Ability to work effectively with diverse personalities, leadership styles, and stakeholder groups.

Proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, Teams, and Word.
