Title: Front Desk Administrator
Location: Pasedena, TX
Hire Type: Contract
Salary: $23hr
Schedule: M-F 8A to 5P

Position Summary
The Front Desk Administrator serves as the first point of contact for visitors, clients, vendors, and employees, creating a professional and welcoming experience while ensuring efficient day-to-day office operations. This role is responsible for managing front desk activities, administrative support, office coordination, and communication functions to help maintain an organized and productive work environment.

Key Responsibilities

Front Desk & Reception
· Greet and assist visitors, clients, and employees in a professional and courteous manner.
· Answer, screen, and direct incoming phone calls and emails to the appropriate personnel.
· Maintain visitor logs, issue visitor badges, and ensure adherence to office security procedures.
· Coordinate conference room scheduling and visitor accommodations.
· Manage incoming and outgoing mail, packages, and deliveries.

Administrative Support
· Provide administrative support to leadership and various departments as needed.
· Prepare, format, and distribute correspondence, reports, presentations, and other business documents as needed.
· Maintain electronic and physical filing systems to ensure accurate recordkeeping.
· Assist with data entry, document management, and report generation.
· Schedule meetings, appointments, and company events.

Office Operations
· Monitor and maintain office supplies inventory; coordinate ordering and restocking as needed.
· Serve as the initial point of contact for vendors, service providers, and facility-related requests.
· Coordinate office maintenance and ensure common areas remain organized and presentable.
· Support onboarding needs for new employees, including workspace preparation and administrative documentation.
· Assist with travel arrangements and expense reporting when required.

Customer Service & Communication
· Respond to routine inquiries and direct requests to the appropriate team members with a sense of urgency and proactivity.
· Maintain a positive and professional image of the organization through all interactions.
· Communicate effectively with internal and external stakeholders to support business operations.
· Handle sensitive information with discretion and confidentiality.

Qualifications
· High school diploma or equivalent required.
· 2+ years of administrative, receptionist or office support experience required.
· Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
· Experience with office equipment including multi-line phone systems, printers, and scanners.
· Strong organizational and multitasking skills with attention to detail.
· Excellent verbal and written communication skills.
· Ability to prioritize tasks and manage competing deadlines.
· Professional demeanor and customer-focused approach.

· Experience with office management systems and computer-based applications.
· Strong problem-solving and decision-making abilities.
· Ability to work independently while collaborating effectively with cross-functional teams.
· Adaptability and willingness to support a variety of administrative and operational tasks.
