Deliverables:Adheres to the BRT Values and Company CultureKeeps organized records of all client and vendor communications, including contracts and deadlinesConfirms, enters, and keeps current - Trip details in Salesforce per contracting email, contracted itinerary and pricing proposalBooks and contracts vendors per itineraryKeeps organized records of all client and vendor communications, including contracts and deadlinesPrioritizes contracts for performances and clinicians, including venues, per itineraryCollaborates with Travel Consultant when current inclusions are unavailable, including recommending venues, menus, amenities and/or activities to meet or exceed the client's needsRecords and reconciles all trip expenditures in Salesforce, including comparing actual costs to the CPQ Cost of GoodsManages the collection and reconciliation of passenger lists (room, air, dietary, etc.) from group leadersAdheres to the Trip Operations Manager responsibilities in the BRTP Procedure Team Process document Responsible for keeping track of all incoming money for the trip (bulk credit money, deposits, incremental and final payments, etc.)Works with the Business Operations Coordinator to facilitate the mailings of all BRT incentivesAdheres the Tour Director Manual "How To" documentPrepares the Tour Director on all trip details to help them facilitate a meaningful tripOn Call and available after hours to assist with on tour challengesWorks with fellow BRT Team members on special projects as neededWorks on Summer Projects for the advancement of BRT's knowledge, including data accuracy in SalesforceProvides superior customer service while responding to parents and group leaders through our Chat and HelpScout channelsAttends Operations Team, Bi-Annual Company, and consistent BRT Team (Operations, Sales, and BRTP) meetings as scheduledAttends industry trade shows as neededParticipates in ongoing vendor and BRT process training as neededRequired Knowledge, Skills and Abilities:Exceptional customer service and impeccable organizational skills and attention to detailStrong administrative skills to simultaneously handle multiple trips and the budgets, tasks and responsibilities needed for eachA positive, anything-is-possible attitude with clients; willing to go the extra mile to ensure their needs are exceededWillingness to work beyond normal business hours when necessaryComputer proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Salesforce.
