Overview

VTG is seeking a Supply Administrative Specialist to support our Virginia Beach location.

What will you do?

The Supply Administrative Specialist is responsible for the creation, assembly, and management of newly awarded Task Orders within our system, Quality Assurance Work Books (QAWBs) and drawing packages in support of contract execution. This role combines administrative, technical, and logistical functions, including procurement of materials, document preparation, data entry, and physical assembly of deliverables. The position requires proficiency in multiple software platforms, attention to detail in contract interpretation, and the ability to manage materials and documentation workflows across systems.

QAWB & Drawing Package Development

  • Build, assemble, and maintain Quality Assurance Work Books (QAWBs) and drawing packages in accordance with contract and project requirements.
  • Print, organize, and compile technical documents using Microsoft Office and Adobe software.
  • Ensure all documentation is accurate, complete, and formatted per company and customer standards.

Procurement & Material Management

  • Identify, order, and track supplies required to produce QAWBs and associated documentation.
  • Coordinate with vendors, procurement teams, and internal stakeholders to ensure timely material availability.
  • Receive, handle, and organize materials for workbook assembly.

Systems & Financial Processing

  • Process receipts, expenses, and procurement actions within Costpoint and Quickbase systems.
  • Maintain accurate records of purchases and material usage.
  • Track and reconcile supply expenses in alignment with project budgets and cost guidelines.

Contract & Task Order Support

  • Review and interpret contract documents to establish and set up task orders within internal systems.
  • Ensure task orders reflect accurate scope, deliverables, and timelines.

SharePoint & Access Coordination

  • Utilize SharePoint to manage documentation and workflow processes.
  • Submit accurate and timely access requests to security teams for project personnel and systems.
  • Maintain organized digital records and ensure proper document control.

Material Handling & Physical Assembly

  • Lift, transport, and organize materials required for QAWB and drawing package assembly.
  • Prepare and stage completed packages for delivery or distribution.

General Support

  • Coordinate with Planning, Engineering, Procurement, and Project Management teams to meet project milestones.
  • Maintain a clean, organized, and safe work environment.
  • Perform additional duties as assigned.
