Description

Debbie’s Staffing is currently hiring for a Bilingual Staffing Coordinator in our Warwick/Providence, RI location!  
Schedule: Monday-Friday 8am-5pm
Pay: $21.00 per hour, Temp-Hire
 
Summary/Objective 
Responsible for providing administrative and recruiting support to the branch by assisting with candidate sourcing, applicant processing, onboarding, interview scheduling, associate relations, and office operations.

Essential Functions, Responsibilities, and Skills & Abilities 
  • Serve as the first point of contact for walk-in applicants and visitors.
  • Answer phones, respond to emails, and assist clients and associates.
  • Maintain applicant and client database information.
  • Assist with payroll support, timekeeping, filing, scanning, and document management.
  • Prepare reports and maintain branch records.
  • Manage office supply inventory and general office organization.
  • Assist applicants with completing applications and onboarding requirements.
  • Conduct initial applicant pre-screening and qualification reviews.
  • Schedule candidate interviews and coordinate hiring activities.
  • Assist with sourcing candidates through job boards, social media, referrals, and community outreach.
  • Maintain candidate pipelines for active positions.
  • Contact candidates regarding job opportunities and assignment details.
  • Assist with job posting creation and updates.
  • Coordinate background screenings, drug screens, and employment verification processes.
  • Conduct associate follow-up calls regarding attendance, assignment satisfaction, and start confirmations.
  • Document associate interactions in the Applicant Tracking System.
  • Respond to general associate questions and requests.
  • Build positive relationships with associates and clients.
  • Provide prompt and professional support to internal and external customers.
  • Maintain confidentiality and professionalism at all times.
  • Assist with I-9 completion, onboarding documentation, and personnel file maintenance.
  • Adhere to branch operations, company policies, federal regulations, and state employment laws.
  • Perform other duties as assigned. 

Requirements and Skills
  • High school diploma or equivalent required.
  • Minimum of one year of customer service or related experience is preferred. 
 
Additional Eligibility Qualifications:
  • Proven experience as an administrative assistant or in a similar role.
  • Excellent written and verbal communication skills.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Attention to detail and high accuracy in data entry and record-keeping.
  • Ability to maintain confidentiality and handle sensitive information.
  • Customer service-oriented mindset with a friendly and professional demeanor.
  • Familiarity with applicant tracking systems (ATS) and other recruitment software is a plus.
  • Knowledge of the employment industry or previous experience in an employment agency is advantageous.
  • Bilingual in English and Spanish is required
