Position Summary
We are seeking an organized, dependable, and proactive Office Manager to oversee the day-to-day administrative, billing, and customer service of our office. This leader will help ensure the workplace runs efficiently, support employees, leadership, clients, coordinate office activities, and maintain a professional, welcoming, and supportive environment.
The ideal candidate is extremely detail-oriented, resourceful, an excellent communicator, and comfortable managing multiple priorities and others in a fast-paced environment.
Key Responsibilities
- Oversee daily office admirations, billing, customer service, and administrative procedures.
- Serve as a primary point of contact for employees, visitors, vendors, and clients.
- Manage a customer service team, calendars, meetings, appointments, and office communications.
- Coordinate office supplies, equipment, maintenance, and vendor relationships.
- Process invoices, purchase orders, expense reports, and other administrative documents.
- Maintain accurate records, files, and confidential information.
- Assist with weekly billing our customers.
- Support onboarding and offboarding of employees, including coordinating paperwork, supplies, and access.
- Assist management with reports, presentations, correspondence, and special projects.
- Coordinate meetings, company events, employee activities, and office functions.
- Help establish and maintain office policies and procedures.
- Ensure the office is clean, organized, safe, and properly stocked.
- Handle confidential and sensitive information with discretion.
- Identify opportunities to improve administrative processes and office efficiency.
- Perform other duties and special projects as assigned.
Qualifications
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- 3+ years of office administration, office management, or related experience preferred.
- Bilingual in Spanish.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office or Google Workspace.
- Ability to manage multiple tasks and priorities with minimal supervision.
- Strong attention to detail and problem-solving skills.
- Professional, friendly, and customer-service-oriented attitude.
- Ability to handle confidential information appropriately.
- Experience with accounting, payroll, HR, or office management software is a plus.
