The School District of West Allis-West Milwaukee is currently seeking a part-time secretary for Horace Mann Elementary School. This position follows the Secretarial 10-Month 194-day calendar.

DEMONSTRATED QUALITIES:

  • Proficiency in verbal/written communication and computational skills.
  • Self starter, self-directed, and possess a congenial attitude.
  • Willingness to accept supervision and implement district initiatives in support of student learning.
  • Able to interact tactfully, effectively and courteously with district staff and other individuals encountered on the job.
  • Willingness to staff the position during the hours required or otherwise assigned. This may include a willingness to work flexible hours to accommodate the

responsibilities of the position.

  • Ability to maintain accurate records; assist in the completion and preparation of clear and detailed reports.
  • Ability to effectively communicate recommendations to administration.
  • Analytical and problem solving skills to troubleshoot problems and inquires.

ESSENTIAL JOB FUNCTIONS MAY INCLUDE:

Record Keeping/Office Management Skills

  1. Answer phones, greet visitors, applicants and vendors.

  2. Monitor security cameras, guest and visitor sign in.

Communication/Interaction Skills

  1. Must be able to prioritize, handle multiple assignments and manage time so that tasks are accomplished within deadlines.

  2. Treat every phone call requesting help promptly and courteously.

  3. Be attentive, pleasant and focused on duties and responsibilities at all times.

  4. Exercise full discretion when dealing with confidential student and personnel information.

  5. Make judgments or decisions that are based on an established school procedure/protocol.

  6. Demonstrate the ability to work independently with minimal direct supervision

  7. Must maintain affirmative attitude and positive demeanor at all times particularly when responding to citizen/parent complaints, school concerns or requests for

information.

Student Census

  1. Monitor/update daily changes to student records including immunization records.

  2. Provide assistance to and be a resource to building staff for maintaining student database.

  3. Maintain confidentiality.

Student Health and Safety

  1. Manage health room including medication record keeping, storage, delivery of medication or medical testing as trained.

  2. Plan and facilitate lice checks.

  3. Maintain confidentiality.

  4. Make home contact for ill students.

  5. Supervise ill students.

Support to Building Administration

  1. Ability to communicate effectively, collaboratively and positively with employees, contractors, vendors, students, parents, administrators, board members and

public.

  1. Ability to plan, gather, and organize materials to be used by administration, staff and students, etc.

  2. Ability to organize, prioritize, and carry out work and manage others work with minimal support.

  3. Ability to use good independent judgment and solve problems sometimes in emergencies or within tight deadlines.

  4. Demonstrated ability to solve complex problems in a manner consistent with school policies/procedures.

  5. Ability to work a flexible schedule, when necessary.

Customer Service Expectations

  1. Customer service skills as measured by the District Customer Service Standards Guidelines

  2. Arrives on time to work location as set in schedule.

  3. Responds to deadlines and prioritizes work.

  4. Possesses positive constructive relationship with department staff, District staff, public, community, and business associates.

Perform other related duties as assigned.

Work within State and Board of Education policies, procedures and guidelines.
