Job Description

The Patient Access Representative reports directly to the designated manager within the assigned practice or outpatient department. This position is responsible for providing exceptional patient-centered service while supporting daily administrative and registration functions to ensure an efficient patient experience.

Key responsibilities include scheduling patient appointments, obtaining and verifying demographic and financial information, completing patient registration, and collecting required signatures and documentation for billing and insurance purposes. The Patient Access Representative processes laboratory and diagnostic test orders through the appropriate computer systems at the direction of providers and completes end-of-day reconciliation and reporting activities.

This role serves as a primary point of contact for patients by welcoming visitors, managing incoming calls, and coordinating communication between patients, nurses, physicians, and other healthcare team members. The position also processes referral requests for providers within the clinic and ensures required authorizations and referral numbers are obtained when necessary.

The successful candidate provides excellent customer service, demonstrates strong attention to detail, and supports a positive patient experience throughout all interactions.

Qualifications:

Job Requirements

Age of Patients Served:

  • All age groups.

Required Education:

  • High school diploma or GED.

Required Experience:

  • Minimum of two (2) years of experience in a clinical office setting with extensive experience in patient registration, front desk operations, and insurance processes.

Preferred Qualifications:

  • Knowledge of ICD-9 and CPT coding.
  • Completion of a standard terminology course is preferred but not required.

Required Skills:

  • Knowledge of insurance plans, requirements, and guidelines.
  • Ability to obtain insurance authorizations and pre-certifications.
  • Strong decision-making skills with the ability to take initiative and resolve issues independently.
  • Exceptional attention to detail and accuracy.
  • Excellent verbal and written communication skills in English.
  • Basic mathematical skills necessary for cashiering functions.
  • Data entry experience.
  • Ability to prioritize tasks, manage workflow, and meet deadlines.
  • Ability to handle stressful situations professionally while providing excellent customer service.
  • Strong conflict resolution skills.
